Position Overview:
Office Coordinators deliver essential administrative assistance for various functions, including general management, research settings, or specific initiatives.
PRIMARY DUTIES:
Provides crucial administrative support across multiple areas, including general management, research environments, or designated programs.
Ensures that office operations adhere to Emory's established policies and procedures.
Handles incoming phone inquiries.
Manages calendars and prioritizes meeting requests for leadership.
Reviews incoming communications, identifying key items for management; manages routine correspondence and drafts appropriate replies.
May assist in completing forms, grant proposals, and other correspondence related to programs.
Prepares visual data representations for reports and presentations.
Creates and revises scientific, programmatic, or other reports pertinent to the department's core functions.
Coordinates meetings and manages logistics for gatherings and special events.
Prepares necessary materials for meetings and events.
Initiates, processes, and maintains records and invoices.
Keeps management informed of account statuses, identifies cost-effective solutions, and may authorize expenditures.
May oversee or maintain budgets and grants, assist in budget formulation, and prepare related expense reports and reimbursements.
Plans and organizes travel arrangements.
Maintains databases and spreadsheets; may also analyze data and generate relevant reports.
Establishes and organizes filing systems and documentation.
Oversees the procurement and maintenance of office supplies.
May supervise or guide the work of support staff and/or students.
Performs related tasks as necessary.
REQUIRED QUALIFICATIONS:
A bachelor's degree or equivalent to a high school diploma along with five years of administrative experience.
Proficiency in Microsoft Office Suite, including Outlook, PowerPoint, and Excel.
Experience with collaborative tools (OneDrive, Zoom, Teams, etc.).
NOTE:
This position offers the flexibility to work from home regularly, with the requirement to commute as needed based on business demands. The schedule will align with the department's established guidelines. Residency in the state of GA is required. Emory reserves the right to modify remote work arrangements with prior notice to the employee.
