About the Job

This Administrative Specialist CL2 position is a key member of the Department of Art team, providing administrative support to ensure the smooth operation of the department.

Key Responsibilities
  • Manage multiple departmental financial accounts and budgets, including processing transactions, tracking spending, and providing financial reports.
  • Organize, share, and file department records, ensuring accurate and up-to-date information.
  • Coordinate travel arrangements for faculty and guest speakers/artists, ensuring seamless logistics.
  • Process and file paperwork related to contracts for faculty, staff, and professional services.
  • Assist with course scheduling and student registration, providing excellent customer service.
  • Manage the hiring and compensation of student employees, ensuring compliance with university policies.
  • Communicate with Facilities Management and custodial staff to ensure proper maintenance of department buildings and spaces.
  • Assist with planning special events, such as gallery receptions, and develop professional relationships with internal and external constituents.

Qualifications
  • High school diploma or equivalent (G.E.D.)
  • Effective oral, written, and interpersonal skills
  • Demonstrated ability to manage multiple tasks with consistent attention to detail and a high level of accuracy
  • Demonstrated skills in prioritization and workload management
  • Strict attention to detail and to confidentiality
  • Commitment to a high level of customer service and professional conduct toward members of the public from a diversity of backgrounds
  • Familiarity with standard software packages, including Microsoft Word, Excel, and PowerPoint
Preferred Qualifications
  • Familiarity with University of Maine software and systems
  • Knowledge of University policies and procedures
  • College degree
  • Administrative experience in a similar office position
