Role Overview - Patient Service Associate
Assist in various responsibilities related to daily clinic operations, including patient identification, check-in/out procedures, charge posting, cash handling, and appointment scheduling. This role also entails delivering exceptional customer service, managing message distribution, coordinating ancillary scheduling, and overseeing referral processes.
Key Responsibilities
- Prepare for clinic appointments by reviewing upcoming patients and completing necessary preparation tasks.
- Input pre-visit orders and organize new patient files. Collect X-rays, office charts, medical records, reports, and cash management items.
- Maintain accurate patient documentation by filing history sheets and ancillary reports.
- Ensure the return of medical records and attach necessary HIPAA/Medicare documents to encounter forms.
- Facilitate patient check-in upon arrival, verifying demographic information in the system.
- Update patient information as required and ensure accurate account identification for visits.
- Educate patients on required documentation and secure necessary signatures in accordance with policies.
- Manage all check-in files and alerts within the system efficiently.
- Collect and record co-payments and outstanding balances accurately.
- Prepare and manage patient-specific chart documents and requisition forms.
- Coordinate laboratory tests and procedures as requested.
- Ensure the integrity of physician office charts and prepare encounter forms.
- Audit encounter forms for accuracy and completeness prior to processing.
- Schedule tests and procedures as needed and complete ancillary service requisitions.
- Clarify billing processes to patients in line with credit and collection policies.
- Determine cash collection amounts based on insurance plans.
- Facilitate patient check-out and assist in scheduling follow-up appointments.
- Handle telephone inquiries and relay messages to appropriate staff members.
- Accurately document medical information from patients and referring physicians, ensuring timely communication.
- Excellent verbal and written communication skills.
- Proficient in basic computer operations and data entry.
- Familiarity with medical terminology and professional telephone etiquette.
- Ability to prioritize tasks, provide clear instructions, and build effective relationships with clients.
Work requires foundational knowledge of grammar and basic math typically acquired through high school education.
Experience
A minimum of one year of experience in direct communication and service roles, preferably within a healthcare environment, demonstrating the ability to manage multiple tasks effectively.
