Position Overview

The Executive Assistant provides comprehensive administrative support to the Senior Vice President of Human Resources. This role is essential in ensuring smooth daily operations by maintaining effective communication, organizing departmental activities, and managing special projects as required.

Key Responsibilities

  • Perform high-level administrative duties, maintaining confidentiality and executing tasks with minimal supervision.
  • Maintain complex records and files, both digital and physical.
  • Act as a liaison between department managers and staff regarding the SVP's matters, including meetings and documentation.
  • Take authorized actions in the absence of the SVP to ensure continuity of operations.
  • Prepare various documents, including letters, reports, and presentations, often containing confidential information.
  • Coordinate travel arrangements, including transportation and accommodations, as well as meeting logistics.
  • Manage the SVP's calendar, ensuring efficient communication and scheduling of meetings.
  • Oversee budget management, processing invoices and expense reports, and assisting in budget planning.
  • Facilitate communication with internal and external stakeholders, using independent judgment to prioritize inquiries.
  • Collaborate with the administrative team to ensure effective information flow and coordination of activities.
  • Assist in planning HR events, including offsite meetings, catering, and logistics.

Required Qualifications

  • 2-4 years of experience in a fast-paced, multi-tasking environment, providing administrative support to executives.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent communication skills, both written and verbal, with a focus on maintaining confidentiality.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Ability to work independently and as part of a diverse team.

Physical Requirements

This position requires the ability to work in an office setting, utilizing a computer, attending meetings, and collaborating with team members. Regular attendance is essential. Occasional physical activities may include bending, kneeling, and lifting up to 10 pounds.
