We are seeking a highly skilled and motivated Client Services Coordinator to join our team at Butterfly Effects. As a Client Services Coordinator, you will play a critical role in driving our company forward by providing exceptional customer service and ensuring a seamless experience for our clients.

Key Responsibilities
  • Client Communication: Respond to all client inquiries in a timely and professional manner, providing clear and concise information about our services and addressing any concerns or questions they may have.
  • Referral Development: Engage with internal and external resources to develop referral sources and client acquisition strategies, ensuring a steady flow of new clients for our services.
  • Service Coordination: Verify insurance coverage, upload verification of benefits, and start of care documents into our systems, ensuring that clients receive the services they need in a timely manner.
  • Client Engagement: Actively engage with clients to move them forward with services, providing a highly responsive and client-focused experience.
  • Scheduling: Schedule clients with our clinical staff to initiate ABA therapy, ensuring a smooth transition from intake to treatment.
  • Process Improvement: Collaborate with our Client Services Team to evaluate and modify processes, driving continuous improvement and excellence in client communication, referral source development, and new client acquisition.
  • Compliance: Adhere to all HIPAA guidelines and regulations, ensuring the confidentiality and security of client information.
Requirements
  • Strong Communication Skills: Possess excellent verbal and written communication skills, with the ability to communicate complex information in a clear and concise manner.
  • Professional Phone Manner: Demonstrate a positive and professional phone demeanor, with the ability to handle multiple calls and interactions simultaneously.
  • Attention to Detail: Possess strong attention to detail, with the ability to multitask and prioritize tasks effectively.
  • Knowledge of Systems: Have knowledge of Windows, Microsoft Office Suite, and CRM and EMR systems, with the ability to learn and adapt to new systems quickly.
  • Experience: Possess a minimum of 2 years of customer service, intake, or referral development experience, with a strong background in healthcare preferred.
