Junior Conference Coordinator

The Junior Conference Coordinator will assist in the planning, coordination, and execution of conferences, meetings, and events. This role involves working closely with the Conference Manager/Senior Planner and other team members to ensure all aspects of the events run smoothly and efficiently.
Key Responsibilities:- Guest Services:
- Greet and welcome all visitors and guests upon arrival at the conference center.
- Provide information and assistance regarding event schedules, locations, and services offered.
- Answer and direct incoming phone calls and emails promptly and professionally.
- Ensure a professional and courteous demeanor. - Event Planning Support:
- Assist in the planning and coordination of all logistical aspects of conferences and events, including conference room booking, catering, multimedia, security, and transportation.
- Support the development of catering proposals, run of shows, conference invoices
- Collaborate with vendors partners to ensure timely delivery of services and materials. - On-Site Coordination:
- Assist with on-site event setup, registration, and coordination.
- Ensure all event materials and equipment are in place and functioning properly. - Post-Event Activities:
- Support the preparation of post-event reports and summaries.
- Assist in identifying areas for improvement and implementing changes for future events. - Administrative Tasks:
- Perform other administrative duties as assigned.
- Education:
- Bachelor's degree in Event Management, Hospitality, Marketing, or a related field preferred. - Experience:
- Previous experience in event planning, coordination, or a related field is preferred but not required. - Skills:
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- Attention to detail and problem-solving skills.
- Ability to manage multiple tasks and priorities simultaneously.

- Enthusiastic and proactive attitude.
- Ability to remain calm under pressure and handle challenging situations.
- Willingness to work varying shifts, flexible hours, including evenings and weekends, as needed.
