Job Summary
We are seeking an Executive Administrative Assistant to join our team in the Development Services Department. The successful candidate will assist the Development Services Director with administrative work, including record-keeping, scheduling, handling inquiries, preparing correspondence, reports, forms, and other writing tasks, purchasing, and conducting research and special assignments.
Key Responsibilities
- Researches, assembles, prepares, and proofreads various materials, including special reports, correspondence, and memoranda for the Director and/or designee.
- Serves as the timekeeper, completing timesheets, entering payroll into software, and preparing payroll action forms for the Director's approval.
- Serves as a purchasing agent, preparing check requests, purchase orders, ordering, receiving, tracking spending, and following all Town purchasing policies.
- Assists in preparing information and documents necessary for various meetings, including the Town Council, Planning Commission, Plan Review Committee, and Florida Green Finance Authority Board.
- Coordinates phone calls, correspondences, schedules, and the calendar for the Director.
- Responds to resident concerns promptly.
- Attends department staff meetings and takes meeting minutes.
- Provides administrative support and assistance to the Code Enforcement Division by preparing the Special Magistrate Hearing Agenda, backup information, certified mailers, minutes, recording orders, and correspondences; attends and records meetings.
- Supports the Code Enforcement staff concerning file preparation for Magistrate hearings activities.
- Receives, prioritizes, and distributes the department's mail.
- Coordinates follow-up on issues and actions that arise from Magistrate hearings.
- Serves as departmental Records Custodian or Alternate, scanning and/or disposing of obsolete/files following State Law, file management, and ensuring staff complies with Town policies related to records management.
- Assigned asset custodian for the department.
- Reports for duty in emergencies as assigned.
Requirements and Qualifications
- Candidate must possess a High School diploma or equivalent. Bachelor's degree preferred.
- Minimum of three (3) years experience in office administration.
- State of Florida Notary Public designation preferred.
- One (1) year experience in the area of code enforcement, planning /zoning, building, and permitting or related training and experience.
- Candidate must possess a valid Florida Driver's License.
Salary and Benefits
The salary range for this position is $55,993.60 - $89,585.60 per annum, depending on experience and qualifications. We offer a comprehensive benefits package, including health insurance, retirement plan, paid time off, and more.
