Administrative Support Specialist

About the Role

The Administrative Assistant will provide exceptional support to the leadership team, ensuring seamless execution of clerical and administrative tasks. This role requires a self-motivated individual with excellent interpersonal skills, able to prioritize multiple obligations and work independently with minimal instruction.

Key Responsibilities

  • Support leadership team members with clerical and data entry needs, including drafting and reviewing correspondence
  • Manage leadership team calendars, schedule meetings, and coordinate room reservations
  • Attend committee meetings, draft minutes, and follow up with individuals to ensure tasks are on track
  • Generate and revise agency forms, maintain the form database, and disseminate new or updated policies and procedures
  • Coordinate travel arrangements, conference registrations, and other agency-related travel for leadership and staff members
  • Compile monthly contract monitoring reports and billing for contract accounts
  • Review and approve electronic timecards for assigned teams
  • Assist other Administrative Assistants as needed and serve as backup when unavailable

Qualifications

  • Associate degree in business administration or related field
  • Five years of related secretarial or executive assistant experience
  • Proficiency in Microsoft Office 365, including Excel and scheduling in Outlook, and other standard computer applications
