Job Summary:

The Purchasing Administrative Specialist (PAS) offers vital administrative assistance to the procurement division. Key responsibilities encompass the entry of purchase requests and coordinating deliveries to facilitate the acquisition of non-cannabis materials, marketing collateral, and Jeeter Apparel. The ideal candidate should be detail-oriented, driven, and possess strong organizational and analytical skills, along with a foundational understanding of supply chain processes.


Duties/Responsibilities:

  • Processes purchase requisitions within ERP systems to obtain goods and services.
  • Collaborates closely with the Finance department and vendors to address invoice and payment inquiries.
  • Reviews Purchase Orders on a daily basis, ensuring updated promise dates and notifying the team of any modifications.
  • Conducts research related to vendor escalations.
  • Coordinates delivery schedules for incoming purchase orders and shipments.
  • Engages with vendors to ensure material availability for future procurement.
  • Works alongside the warehouse team to monitor inventory levels and assists the Procurement team in determining when new orders should be placed.
  • Tracks inventory levels for internal customers and submits sales orders as necessary to allocate and replenish stock. Partners with warehouse teams to guarantee timely material delivery.
  • Aids in resolving conflicts and supply chain challenges with vendors to meet production needs.
  • Performs additional duties as required.

Required Skills/Abilities:

  • Excellent communication, analytical, critical thinking, and problem-solving abilities.
  • Business Acumen - Capability to comprehend and analyze business concepts and issues.
  • Proficiency in Microsoft applications such as Word, Excel, and Outlook.
  • Experience with ERP systems like Business Central; familiarity with PowerPoint, BI, or visualization software is advantageous.
  • Strong written and verbal communication skills.
  • Meticulous attention to detail.

Education and Experience:

  • High School Diploma or equivalent.
  • Background in Business Administration or Supply Chain Management is a plus.
  • Minimum of 1 year of experience in procurement, purchasing, or a related field.
