Organization: The Apollo Theater Foundation, Inc. serves as a key player in promoting new artistic talents, fostering diverse audiences, and contributing to the narrative of African American culture within the broader context of American and global heritage.

Education Initiatives: The Education Department at Apollo engages learners of all ages through a rich array of activities and events. These encompass workshops, artist residencies, guided tours, seminars, and both synchronous and asynchronous virtual learning tailored for K-12 students. Additionally, the Apollo Theater Academy focuses on career and youth development, while various events aim to enhance appreciation for the arts and the cultural contributions of the African diaspora.

School Engagement Programs: Apollo's initiatives for schools offer numerous interactive experiences in performance, creative expression, and critical analysis. Each year, 15,000 K-12 students and educators from New York City benefit from workshops, residencies, tours, performances, and online resources. These programs are designed to integrate the performing arts, media, and humanities into the educational experience, taking place during school hours and after school. As a prestigious venue, Apollo's school programs often connect with larger initiatives, including performances and festivals. With the upcoming addition of two new black box theaters, the school programs are set for significant growth and innovation.

Role Summary: The coordinator is responsible for managing the daily functions that align Apollo's School Programs with its overarching mission and objectives. This role serves as the primary liaison for inquiries related to School Programs, scheduling, and financial operations. Activities under School Programming occur in educational institutions, at The Apollo, and through virtual platforms, including arts exposure workshops, series of workshops, long-term residencies, professional development for educators, performances, tours, and special projects aimed at engaging school communities.

  • Oversee and implement administrative systems for the effective management of school programming.
  • Establish and maintain efficient communication protocols to manage school group visits.
  • Conduct guided tours of the Historic Theater as required.
  • Assist with registration and check-in processes for public events and activities.
  • Collect, organize, and maintain demographic, statistical, programmatic, and financial documentation for quarterly reporting.
  • Provide on-site support for Teaching Artists at schools and at The Apollo.
  • Assist the School Programs Manager and Associate Director with programming initiatives.

Collaboration with Apollo Staff:

  • Develop and maintain customer databases.
  • Implement established protocols for scheduling, registration, invoicing, and record-keeping.
  • Contribute to the development and execution of new educational programs that align with the strategic goals of the organization.
  • Disseminate marketing materials and collaborate on outreach strategies, including website updates and electronic communications.

Qualifications: The following qualifications are representative of the knowledge, skills, and abilities required for this position:

  • Bachelor's Degree with 2-4 years of experience in arts education and administration or a related field.
  • Exceptional written and verbal communication skills.
  • Detail-oriented and reliable in performing administrative tasks.
  • Able to engage with a diverse range of personalities while maintaining professionalism.
  • Experience in coordinating complex projects within a team environment.
  • Strong time management, organizational, and analytical skills.
  • Proactive and focused on achieving goals.
  • Familiarity with NYC schools and the NYC Department of Education.
  • Understanding of financial transactions and purchase orders within educational institutions.

Desirable Skills: Proficiency in the following software and platforms is preferred:

  • Microsoft Office 365, virtual conferencing tools, and web-based interactive platforms.
  • Asana project management software.
  • Event management systems such as Momentus, Tessitura, and Eventbrite.
  • Experience with Adobe Premiere is a plus.

This position is primarily office-based but may offer a hybrid schedule allowing for remote work on select days, contingent upon event attendance or school visits as part of job responsibilities.
