Job Summary

Children's Hospital & Medical Center is seeking a highly skilled and experienced Lead Patient Access Specialist to join our team. As a key member of our front office operations, you will be responsible for leading our patient access team in providing exceptional patient care and ensuring the smooth operation of our medical office.

Key Responsibilities
  • Lead and manage the front office team in all job responsibilities, providing guidance and support as needed.
  • Act as a resource and liaison to the office manager, ensuring optimal functioning of all front office operations.
  • Ensure a positive interaction in each patient and family encounter, working with the clinical team to promote a team-based approach to care.
  • Register new patients with complete and accurate demographics, verify patient/family demographic information, and enter accurately in the computer at each visit.
  • Schedule patients accurately using the automated appointment system, following office protocols and ensuring patients are scheduled according to our Never Say No policy.
  • Verify patient's insurance eligibility and benefits using established automated process at each visit, and initiate the Children's Connect sign up process for all new or inactive patients.
  • Respond to Children's Connect appointment messaging within defined timeframes, and pull patient's charts as needed, releasing information as needed in accordance with organizational protocols.
  • Collect co-pays and balances on past due accounts, post payments collected directly into the computer, and complete end-of-day balancing and accurately prepare bank deposit.
  • Support patient care quality initiatives as directed, and complete miscellaneous reports and letters as needed.
  • Open and distribute mail in a timely manner, assemble patient packets as directed, and pull and process all fax transmittals as directed.
  • Perform opening and closing duties as assigned by the office manager or designee, and assist in the orientation and training of new employees as requested.
  • Facilitate handling of pharmaceutical representatives and vendors in accordance with office policy, and monitor hourly and maintain clean, organized clutter-free lobby and clean patient restrooms.
Requirements
  • High School graduate or G.E.D. required.
  • Minimum 1 year in a receptionist position in a medical office or healthcare setting required.
  • Previous lead experience in a medical office or healthcare setting preferred.
  • Excellent communication, listening, and customer service skills.
  • Excellent organizational skill, able to set priorities and follow through.
  • Critical thinking and problem-solving skills.
  • Basic computer skills and knowledge of Microsoft operating environment.
  • Ability to read, write, and perform arithmetic calculations.
  • Ability to operate basic office equipment.
  • Knowledge of billing and insurance programs.
  • Knowledge of patient appointment scheduling systems in a medical office.
