Administrative Coordinator

About the Role:
This Administrative Assistant will work closely with the Director(s) to ensure the effective operation and implementation of the Head Start Program. The successful candidate will have a high level of organizational skills, excellent communication abilities, and a strong commitment to confidentiality.
Key Responsibilities:
* Assist the Director(s) in maintaining an organized filing system, ensuring timely completion of tasks, and providing exceptional customer service
* Ensure that all incoming mail is logged in and distributed through the inner-office mail system, and outgoing mail is ready for daily pick-up
* Work with the interview team and HR/Payroll Associate to set up interviews and schedule Policy Council meetings
* Compile new hire packets and other paperwork related to the interview process, ensuring accuracy and attention to detail
* Provide clerical assistance to management staff as assigned, including typing, copying, and composing correspondence
* Process mileage for staff within their assigned region, ensuring timely completion and accuracy
* Order office supplies for centers and offices within their assigned region, maintaining inventory and ensuring stock levels are adequate
* Conduct follow-up on interviewees, including thank-you letters, and maintain positive relationships with staff and stakeholders
Requirements:
* High school diploma or equivalent required; prior experience working in an office setting preferred
* Excellent organizational and time management skills, with ability to prioritize tasks and meet deadlines
* Strong communication and interpersonal skills, with ability to interact effectively with staff, stakeholders, and the public
* Ability to maintain confidentiality and handle sensitive information with discretion
* Proficiency in computer software applications, including Microsoft Office and Google Suite
Estimated Salary: $45,000 - $60,000 per year, depending on experience and qualifications.
