Position Overview:
The Patient Care Coordinator plays a crucial role in managing appointment scheduling and serving as the primary contact for patients and the health center. This position involves assisting patients via phone and, when necessary, in person.
The Patient Care Coordinator is devoted to ensuring a seamless patient experience while adhering to established healthcare guidelines and principles.
Key Responsibilities:
- Respond to incoming calls promptly and courteously
- Collect and accurately input demographic data into the system (including address, phone number, insurance details, or self-pay status)
- Effectively schedule appointments, confirming date, time, location, and provider with the caller
- Inform patients about necessary items to bring for their appointments (such as insurance cards, medications, office visit fees, and income verification if applicable)
- Advise patients to arrive 15 to 30 minutes early to complete necessary paperwork
- Communicate cancellation and no-show policies clearly
- Provide answers to inquiries and additional information as needed to ensure a patient-centered service and a positive impression of the organization
- Direct calls to appropriate departments when necessary
- Exercise sound judgment in managing calls, particularly with distressed patients
- Recognize when to escalate calls to healthcare providers or management
- Make reminder calls as required
- Contact patients to reschedule appointments as needed
- Conduct outbound calls to enhance productivity
- Adhere to organizational policies and procedures regarding accounts receivable
- Perform additional duties as assigned
- Proficient with office equipment, including computers, calculators, photocopiers, and fax machines
- Excellent verbal and written communication skills
- Able to interact effectively with individuals from diverse socioeconomic backgrounds
- Strong team player with a commitment to collaboration
- Capable of addressing sensitive inquiries or complaints with professionalism
- Adept at managing multiple tasks simultaneously
- Advocate for high-quality healthcare services
- Clear, professional, and articulate phone demeanor
- Ability to manage multiple incoming calls and responsibilities
- Strong grammar and writing skills
- Bilingual proficiency in Spanish
- High school diploma or equivalent
- Experience in clerical or front office roles within a medical or dental setting
