Description

An individual in this role is tasked with executing clerical and word processing duties of moderate complexity in the compilation of police documentation. The position operates under the close supervision of a unit supervisor. Responsibilities include extensive typing and focused effort to develop computerized police report files while collecting relevant information from law enforcement personnel and civilians via telephone. The accuracy and efficiency of the processed information are subject to review.

Positions for Police Report Clerks (CARE operators) require fixed shift work to ensure the provision of clerical and word processing services for police report preparation around the clock, every day of the week, throughout the year. Shifts typically last eight (8) hours but may be extended in cases of emergencies, disasters, staffing shortages, or increased workload. Consistent attendance, punctuality, and the ability to work overtime when necessary are essential.

Duty Hours: Day shift is 6:30 AM to 2:30 PM; Afternoon shift is 2:30 PM to 10:30 PM; Midnight shift is 10:30 PM to 6:30 AM, with flexibility to accommodate departmental needs. A hybrid office/remote schedule may be available after training completion.

Examples of Duties
  • Creates computerized police reports by utilizing word processing equipment to access a Computer Aided Report Entry system.
  • Inputs Uniform Crime Reporting statistics codes into computer systems for statistical tracking.
  • Collects report information from police officers and crime victims through telephone conversations, ensuring complete information in accordance with established procedures.
  • Retrieves data from the Regional Justice Information System (REJIS).
  • Updates police reporting systems with supplemental information such as additional items stolen or damaged.
  • Enters/updates/cancels information regarding persons, vehicles, and property into REJIS/MULES/NCIC.
  • Prints police reports and conducts criminal record checks to assist law enforcement officers in preparing warrant applications and investigations.
  • Assists other police auxiliary staff with various established tasks, including processing traffic citations and arrest reports.
  • Provides technical support for CARE to contract and direct entry users.
  • Processes signage for vehicles towed from private property.
  • Completes Records validation lists to verify accuracy and disposition by accessing computerized police report system files.
  • Monitors Records phones during after-hours and weekends.
  • Requires REJIS/MULES certifications.
  • Maintains Orders of Protection files, including entries, updates, dismissals, and service information.
  • Performs related tasks as required.
Minimum Qualifications

Knowledge, Skills, and Abilities:
  • Familiarity with Computer Aided Report Entry system functions and operations.
  • Proficient in grammar, spelling, and punctuation.
  • Knowledge of word processing equipment operations and various Microsoft applications, including CARE, REJIS, and Internet Explorer.
  • Understanding of Uniform Crime Reporting (UCR) statistics coding procedures.
  • Knowledge of office procedures and work methods.
  • Some understanding of police investigative techniques.
  • Ability to operate word processing equipment to produce police reports accurately and efficiently.
  • Skill in querying police officers and other callers to gather complete crime information.
  • Ability to perform a variety of clerical tasks with attention to detail.
  • Capability to provide courteous and efficient service to the public and police officers.
  • Skill in operating a multi-line phone system.
  • Ability to multitask without compromising quality and efficiency.
  • Typing speed of 45 words per minute with minimal errors.
  • REJIS/MULES certification required for performing functions in REJIS/MULES/NCIC.
Training and Experience:

High school graduation supplemented by courses in typing and business English, along with two years of experience as a clerk typist, preferably including six months of operating word processing equipment; or any equivalent combination of training and experience.
Additional Information

CITIZENSHIP: Must be a U.S. citizen or possess a valid work permit and apply for citizenship when eligible.
AGE LIMITS: Must be at least eighteen (18) years old at the time of appointment.
EDUCATION: Educational requirements and skills will be determined by the position classification.
PRE-EMPLOYMENT DRUG GUIDELINES: Any illegal adult use or possession of controlled substances, including marijuana, within one year prior to employment is prohibited.
TATTOO POLICY: Visible tattoos on the face, neck, head, or hands are not permitted. Visible tattoos on other body areas may be displayed with Department approval.
ARREST: Must not have a felony conviction or a Class "A" misdemeanor.
MILITARY: Must not have a "Dishonorable" or "Bad Conduct" discharge if having served in the military. All "Other Than Honorable" discharges will be reviewed on an individual basis.
