Responsibilities:
SCOPE: Professionally greets and welcomes patients along with their friends and family. Manages, screens, and directs all incoming communications to the appropriate personnel, ensuring messages are relayed between patients and clinical staff. Upholds and adheres to the US Oncology Compliance Program, including the Code of Ethics and Business Standards, as well as US Oncology's Shared Values.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Welcomes patients and visitors to the clinic in a timely, courteous, and professional manner. Assists in checking in patients and notifying clinical staff of their arrival.
- Provides and clarifies necessary paperwork for patients to complete prior to their examination. Collects, verifies for completeness, and scans/files patient documentation. Updates demographic and insurance information in the system. Collects co-pays and outstanding balances, providing receipts as needed.
- Responds to routine inquiries via phone, electronic communications, or in-person interactions, directing them to the appropriate personnel or taking detailed messages. Pages clinic staff as necessary and communicates messages accurately and promptly according to established procedures.
- Contacts clinic personnel as required.
- Records patient cancellations and missed appointments; reschedules as necessary and informs relevant staff of changes, making appropriate notes in patient charts.
- Schedules external consultations/procedures as ordered by physicians.
- Provides general administrative support by scanning and filing charts and forms or ensuring they are sent to the correct department/personnel for processing. Maintains a tidy and organized lobby area and ensures a sufficient supply of forms and office supplies for daily operations.
- Adheres to confidentiality, state, federal, and HIPAA (Health Insurance Portability and Accountability Act) regulations regarding patient records.
- Schedules all CT (CAT) scans and PET (Positron Emission Tomography) scans upon insurance approval.
- Maintains the chart message queue and any pending items.
- Scans and copies updated insurance cards.
- Performs other duties as assigned, which may include typing memos and forms.
Qualifications:
MINIMUM QUALIFICATIONS:
A high school diploma or equivalent is required. A minimum of eighteen (18) months of experience as a front medical office receptionist, including familiarity with insurance forms and scheduling software, is required. Knowledge of the practice's personnel, daily operations, and scheduling is advantageous. Proficiency in computer systems and Microsoft Office (Outlook, Word, and Excel) is required. Must successfully complete required e-learning courses within the first 90 days of employment. Demonstrates adaptability by confidently handling daily work challenges and adjusting to multiple demands and shifting priorities. Shows commitment to high performance standards and works efficiently to achieve them. Emphasizes the importance of delivering quality services.
PHYSICAL DEMANDS:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this role. While performing the duties of this position, the employee is required to be present at the workplace during scheduled business hours and is regularly required to sit or stand and communicate effectively. Requires a full range of body motion, manual dexterity, and eye-hand coordination. Involves standing and walking for extended periods. Occasionally lifts and carries items weighing up to 40 lbs. Requires corrected vision and hearing within normal ranges.
WORK ENVIRONMENT:
The work environment may involve exposure to communicable diseases, toxic substances, ionizing radiation, medical preparations, and other conditions typical of an oncology/hematology clinic. Work will necessitate in-person interactions with colleagues and management and/or clients. Minimal travel by automobile to office sites may be required.
