Key Responsibilities:
- Provide administrative support to the construction team, including answering phones, greeting visitors, and handling incoming and outgoing mail.
- Manage daily office operations, including filing, scheduling meetings, and maintaining organized project files.
- Process invoices and subcontractor payments, ensuring accuracy and timely payments to vendors.
- Reconcile monthly bank accounts, credit card bills, and vendor statements.
- Assist with time and materials tags, billing, and collection.
- Input and maintain project-related data in company databases, ensuring all information is accurate and in a timely manner.
- Serve as a point of contact for clients, subcontractors, and suppliers, addressing inquiries and resolving issues efficiently.
Requirements:
- Accounting entry-level experience is preferred.
- Experience with accounting software is a plus.
- Bilingual proficiency is an advantage (Spanish/English/Vietnamese).
- Familiarity with phone systems and handling multiple lines.
- Previous experience in the construction industry and staff management is ideal.
- Proficiency in using Microsoft Office Suite (Word, Excel, Outlook).
- Ability to perform data entry accurately and efficiently.
- Strong leadership skills.
- Ability to multitask on various projects.
- Work well under pressure to meet deadlines.
