Job Summary:
We are seeking a highly skilled and detail-oriented Client Support Specialist to join our Sales Operations team at Doble Engineering Company. As a key member of our team, you will be responsible for supporting the Sales Operations, Customer Partnerships function through annual contract renewals, quotations, and proposals. Your primary focus will be on managing orders related to annual contracts, commercial documentation, system configuration verification, and channel partner communications.
Key Responsibilities:
- Generate a list of contract renewals on a monthly basis.
- Prepare reports on client contracts, including installed base vs. contract obligations.
- Partner with Regional Sales Managers and Client Account Manager on preparing information for account reviews, retention management, additions/deletions, mergers, consolidations, and splits.
- Coordinate with Sales Operations Manager on pricing determination.
- Review and track all contractual documents for each client, including contract amendments, tax documents, purchase orders, etc.
- Send out renewal notifications to clients 90 days in advance of expiration and follow up on lapsed renewals via phone or written correspondence.
- Ensure clients are properly invoiced and provide billing instructions for the accounting team.
- Work with clients to facilitate any midterm contract changes and special equipment allocation issues.
- Enter orders received from clients and channel partners into the ERP system.
- Collaborate with the Operations department to ensure all orders meet export compliance requirements.
- Update CRM information, including contact details, selling opportunity status, and other general account information as necessary.
- Respond to and complete customer requests for commercial documentation, including insurance, safety, compliance, quality, legal, or financial documents.
- May be assigned to execute other initiatives within the Sales Operations department.
Requirements:
- Bachelor's Degree in Business, Marketing, or equivalent related experience.
- 0-2 years of direct experience in a Sales Support or Sales Operations role.
- Strong interpersonal skills with the ability to work independently and within a team environment.
- Successful record of accomplishments working with cross-functional teams.
- Strong communication skills in English, both written and verbal.
- Excellent organizational and time management skills.
- A history of meeting customer-driven deadlines.
- An anticipation of needs and proactive approach.
- A professional demeanor at all times, both with internal and external stakeholders.
- Previous CRM experience (Salesforce.com) preferred.
- Demonstrated proficiency with Microsoft Office (Outlook, Word, Excel, SharePoint).
- Domestic and international travel, including air travel, may be required up to 10%.
Preferred Qualifications:
- Familiarity with the Doble family portfolio.
- Fluency in additional languages other than English.
- Experience working in a global environment.
