Job Summary

We are seeking a highly organized and detail-oriented Front Office Specialist to join our team at Arizona Community Physicians. As a key member of our clinical office staff, you will provide exceptional customer service to patients, manage reception area traffic, and perform various administrative tasks to support patient care and clinical operations.

Key Responsibilities:

  • Provide excellent customer service to patients, patient family members, and other visitors to our clinical offices.
  • Effectively manage reception area traffic and patient flow by maintaining an organized work area and system for arriving patients.
  • Complete patient check-in process, including registration, appointment scheduling, and insurance verification.
  • Perform daily cash handling and cashiering duties, including balancing encounters and end-of-day cash/credit card processes.
  • Interface with back-office personnel and physicians to facilitate patient flow and meet patient care and business needs.
  • Answer phones, route calls, take messages, and manage voicemails to ensure communication is fluid and accurate.
  • Manage in-basket messages effectively in the patient electronic health record system.
  • Generate appointment schedules and encounters before clinic begins and follow proper start-of-day procedure for cash drawer.
  • Review medical records to ensure most recent dictation and lab results are filed.
  • Annotate no shows, cancellations, and add-on appointments appropriately.
  • Communicate arrivals and delays to back office.
  • Maintain up-to-date resource manuals and related materials.
  • Manage medical records requests, complete forms, facilitate fax requests, and scan documents into patient records as required.
  • Ensure cleanliness of reception area and maintain HIPAA compliance.

Requirements:

  • High school diploma or equivalent.
  • At least one year of experience in an administrative support role with responsibility for multitasking and detail-oriented tasks.
  • Experience working with the public providing customer service.
  • Computer proficiency and ability to quickly learn new applications.
  • Proficient in typing and good spelling, punctuation, grammar, and oral communication.
  • Skills in organization, prioritization, and multi-tasking.
  • Professional demeanor and recognition of privacy considerations for patients and families.
  • Ability to act calmly and effectively in a busy or stressful situation.
  • Ability to establish and maintain effective working relationships with medical staff and peers.
