Role Summary

The Customer Service Representative collaborates with sales, customer service, and engineering teams to fulfill customer requests efficiently.


Key Responsibilities

To excel in this role, the individual must effectively manage the following duties:

  • Coordinate with engineering and sales teams to analyze customer bid specifications for accurate quoting, including reviewing technical drawings.
  • Identify product and service needs in collaboration with customers.
  • Establish and nurture relationships with both existing and prospective clients.
  • Ensure precise order entry into the ERP system.
  • Collaborate with operations and supply chain teams to deliver accurate information for managing customer accounts, ensuring timely deliveries and order expeditions.
  • Assist in maintaining document control by confirming customer documentation requirements.
  • Guarantee compliance with export regulations by providing accurate shipping documentation and understanding customer export needs.
  • Maintain a professional interface with both potential and current customers.
  • Timely acknowledge and respond to customer inquiries, orders, quotations, terms, and delivery statuses.
  • Monitor open orders for delivery updates and necessary maintenance.
  • Resolve customer complaints by working closely with the Customer Service Manager.
  • Support the creation of product support materials and promotional content aligned with Sales Department objectives.
  • Oversee and manage special projects as required.

Quality, Health, Safety, and Environment (QHSE) Responsibilities

Qualifications and Experience

Education

Essential:

  • High school diploma or G.E.D.

Preferred:

  • Bachelor's degree in Business or a related field from an accredited institution.

Experience and Skills

Essential:

  • Up to four years of experience in order entry or customer service.
  • Familiarity with transportation and logistical compliance, including incoterms.
  • Exceptional communication and customer service abilities.
  • Capability to work both independently and collaboratively.
  • Proficient in PC-based software tools, including ERP systems, MS Office, and Outlook.
  • Strong communication skills with the ability to engage effectively with diverse audiences.
  • Ability to manage multiple tasks simultaneously.

Physical Requirements

  • Willingness to travel to various facilities for meetings or training as necessary.
  • Ability to lift and carry items weighing up to fifty pounds.
