Position Overview
We are in pursuit of a skilled Conference and Event Coordinator to bolster the Linux Foundation's Event Services team, ensuring the delivery of high-caliber, successful events for our community. The Event team orchestrates over 30 global events each year, accommodating audiences ranging from 50 to 3,000 participants. This role entails some overnight and weekend travel for events both domestically and internationally.
Key Responsibilities
- Oversee the planning, execution, and management of all facets of events and conferences, including venue selection, catering, audiovisual needs, accommodation arrangements, timelines, and staff coordination.
- Maintain and update event websites, online registration platforms, schedules, and mobile applications.
- Collaborate closely with internal teams to ensure successful event execution and achievement of objectives.
- Manage relationships with external vendors, including budget negotiations and contract management.
- Administer individual event budgets, focusing on cost efficiency while maximizing value.
- Develop comprehensive event project plans, timelines, and task lists; work collaboratively with team members on larger events.
- Produce and proofread event materials, including websites, signage, conference guides, and newsletters.
- Craft and distribute attendee communications and post-event feedback surveys.
- Handle post-event invoicing and billing processes.
- Provide on-site support at various events throughout the year.
Qualifications
- Bachelor's degree and a minimum of 5 years of experience in event management, particularly in B-to-B conferences.
- Experience executing conferences independently, without reliance on external agencies.
- Proven ability to work collaboratively within a team to produce successful events.
- Comprehensive understanding of the event management process from inception to completion.
- Capability to manage multiple projects in a dynamic, fast-paced environment.
- Exceptional organizational skills and effective communication abilities, with a keen attention to detail.
- Ability to adapt to challenges with a solutions-oriented mindset and strong critical thinking skills.
- Proficiency in relevant software tools, including Microsoft Office, Google Docs, and event management platforms.
- Experience in copywriting, editing, or proofreading is advantageous.
- Specialized experience in areas such as Technical Production, Event Design, or Event Marketing is a plus.
