Job Summary

The Client Relations and Office Assistant is responsible for building and maintaining client relationships, providing exceptional service, and supporting administrative tasks. This role requires a strong ability to build and nurture relationships to drive business growth and exceed goals.

Key Responsibilities
  • Generate new client contacts through various communication methods.
  • Interact with wholesalers to learn about new products and services.
  • Support ongoing efforts for growth and client retention.
  • Client Servicing and Retention
    • Obtain and verify client account details.
    • Update client portfolios.
    • Follow through on new and pending business.
    • Process monthly income and distributions.
    • Assist with phone calls and tasks not associated with client portfolios.
    • Maintain and update client demographics.
    • Transcribe advisor notes into CRM.
    • Prepare appointment paperwork and notes.
    • Maintain consistent contact with clients on tasks being processed.
    • Create and maintain prospect and client folders.
    • Update and maintain CRM.
    • Meet with clients to review documents and obtain signatures.
    • Walk clients through electronic signing process.
  • Maintain advisor's calendar and provide updates.
  • Take advisor's meeting notes and transfer tasks to office to-do list.
  • Sit in meetings with advisor, take notes, and provide synopsis.
  • Welcome clients and guests professionally.
  • Serve as liaison between financial planner, office manager, and new clients.
  • Obtain working industry knowledge and familiarity with internal and Broker-Dealer resources.
Periodic Duties and Responsibilities

Assist in planning and coordinating office/client events.

  • Develop virtual marketing events and future marketing events for new and existing clients.
  • Responsible for all virtual webinars/seminars; gathering attendees, setting up web presentations, and virtual meeting room, sending out reminder messages, and following up with all invitees' post webinar/seminar.
  • Send client appreciation gifts/cards.
  • Adhere to strict compliance regulations.
  • Be available for other projects and tasks as needed.
  • Cross train with other team members to backup operational duties as needed.
Requirements

Understanding and proficiency in customer relationships, customer service, sales, marketing, data entry, confidentiality, problem resolution, MS Office products, CRM, and Financial Databases are required.

Education and Experience
  • Associates degree or equivalent from two-year college or technical school; or one to two years related experience and/or training; or equivalent combination of education and experience.
  • Customer Service Experience required.
  • English/Spanish Bilingual is required.
  • Experience in the financial services industry and/or administrative support is preferred.
  • Sales and marketing background is preferred.

The vision requirements include close vision and ability to adjust focus. While performing the duties of this job the associate is exposed to a moderate noise level.

Schedule

Monday-Friday. Up to 20-25 hours weekly.
