Job Summary

We are seeking a highly skilled and detail-oriented Office Administrator to join our team at American Textile Recycling Service. As an Office Administrator, you will play a key role in performing various administrative tasks, engaging with internal management and external clients, and contributing to the overall success of our organization.

Key Responsibilities
  • Answer and direct phone calls, ensuring prompt and professional communication with clients and colleagues.
  • Organize and schedule appointments, meetings, and events, utilizing your exceptional time management skills.
  • Plan and coordinate meetings, taking detailed minutes and ensuring accurate records.
  • Compose and distribute emails, correspondence, memos, letters, faxes, and forms, maintaining a professional tone and format.
  • Assist in the preparation of regularly scheduled reports, providing valuable insights and data analysis.
  • Develop and maintain a comprehensive filing system, ensuring easy access to important documents.
  • Update and maintain office policies and procedures, ensuring compliance and efficiency.
  • Maintain contact lists, ensuring accurate and up-to-date information.
  • Submit and reconcile expense reports, ensuring timely and accurate processing.
  • Provide general support to visitors, ensuring a welcoming and professional experience.
  • Act as the primary point of contact for internal and external clients, responding to inquiries and resolving issues.
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
Requirements
  • 3-5 years of experience as an administrative assistant, virtual assistant, or office admin assistant.
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment, such as printers and fax machines.
  • Proficiency in MS Office, particularly MS Excel and MS PowerPoint.
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multi-task.
  • High School degree; additional qualification as an Administrative Assistant or Secretary is a plus.
  • Bilingual Spanish-English is a plus but not required.
Compensation

$22 per hour, paid vacation, medical, dental
