The Operations Coordinator will support the organization's ongoing operations, ensuring optimal performance.

This is an excellent opportunity for a generalist operations professional to grow professionally.

Ongoing Organizational Support (50%):

  • Serve as the first point of contact for visitors and callers, directing them to the appropriate person.
  • Develop and maintain office procedures.
  • Distribute mail and order office supplies.
  • Manage vendors for IT and Facilities.
  • Complete other projects as assigned.
  • Maintain organizational records, inventory of key documents, organization-wide calendar, and scheduling.
  • Organize and set up events for staff and guests.
  • Support equipment ordering, issuing, and tracking.
  • Assist with organization-wide and employee event logistics.

Facilities (20%):

  • Responsible for day-to-day facilities management.
  • Serve as staff contact for all facility needs.
  • Interface with building maintenance vendors to resolve issues.
  • Develop and maintain systems for staff to place facilities requests.
  • Manage facilities operations scheduling meeting rooms.
  • Develop systems for staff to communicate schedules.
  • Research, select, and manage contractors as needed.

IT (30%):

  • Set up computers and phones, install software, and manage email accounts.
  • Troubleshoot IT problems and serve as in-house desktop support.
  • Work with IT support firms as the initial point of contact for staff.
  • Monitor IT firm's work and manage tickets.
  • Manage phone and internet service vendors.
  • Initiate new ideas for systems to increase efficiency and enhance technology use.
  • Identify possible improvements to databases, computer, and filing systems.

This position operates in a professional office environment, with occasional remote work and travel to other sites in the metro area.

Evening and weekend work are occasionally required.

Decisions and criteria governing the employment relationship are made in a non-discriminatory manner.

The ideal candidate will have a minimum of three years' experience in an administrative or operations position.

They will be able to cultivate and sustain relationships, work effectively with various constituencies, and solve problems in a fast-paced environment.

Strong organizational and time management skills are required, along with the ability to plan, organize, and implement projects.

The candidate should be able to operate standard office equipment and have experience with Microsoft Office suite and Adobe Acrobat.
