Job Summary

We are seeking a highly organized and detail-oriented Transportation Administrative Assistant to provide administrative support to the Supervisor of Transportation, Transportation Coordinator, and Transportation Accounting Assistant. The ideal candidate will have excellent communication skills, be able to work independently, and have a strong understanding of transportation operations.

Key Responsibilities
  • Provide administrative support to the Supervisor of Transportation, Transportation Coordinator, and Transportation Accounting Assistant
  • Communicate effectively with drivers, contractors, parents, and district personnel
  • Maintain attendance logs and enter odometers, as well as oversee odometer entry by staff
  • Perform record-keeping and clerical functions assigned by the Supervisor of Transportation
  • Assist with emergencies that may occur outside of regular duties, including transporting students, assisting with accidents, or acting as a vehicle aide
  • Assist with maintaining annual student lists, vehicle reports, and route reports in the database
  • Assist with processing and reconciling daily costs for end-of-year reporting
  • Assist with reconciling nursing invoices and tracking IU and contracted nurses with assigned students
  • Assist with reconciling contractor invoices, establishing costs per IU routes, and confirming contractor charges with established rates, time computation, and mileage
  • Perform any record-keeping or clerical functions necessary to ensure the smooth operation and efficient organization of the department
  • Identify and implement process improvement opportunities for the Bucks IU
Requirements
  • At least a high school diploma or GED required
  • Accounting/business management experience preferred
  • Transportation experience desirable
  • Clear MVR (Motor Vehicle Record) required
Preferred Qualifications
  • Minimum 5 years' experience in an administrative assistant/accounting position
  • Strong computer and mathematical skills, including use of Excel and database application software
  • Strong interpersonal and collaborative and problem-solving skills
  • Effective oral and written communication skills
  • Ability to function independently with or without general supervision
