Job Summary

We are seeking a highly skilled and detail-oriented Program Coordinator Assistant to join our team at the University of Illinois Chicago. As a key member of our Division of Specialized Care for Children, you will play a vital role in assisting care coordination teams with various functions, including clerical and administrative tasks.

Key Responsibilities
  • Assist care coordinators and families with coordinating different activities, such as identifying providers in the participant's insurance network, community resources, and referrals.
  • Ensure that documents comply with the organization's guidelines upon receipt and uploading into the correct location in the Electronic Case Record.
  • Utilize Power BI to identify documentation deadlines, such as authorizations of release information, financial renewals, medical report requests, and participants' benefits due dates.
  • Update demographic and social determinants of health data and diagnosis.
  • Initiate staffing requests as necessary to discuss participants' needs, missing reports, or family outreach strategies with assigned care coordinators or managers.
  • Collaborate with the regional office on quality improvement initiatives.
  • Send required correspondence within specific timeframes, such as financial redetermination, and status letters.
  • Conduct timely requests and follow-ups until required medical reports/documents are received from external entities and adequately uploaded into the case management electronic records to meet renewal requirements.
Requirements
  • Two years of work experience comparable to a Social Work Aide II.
  • College coursework in social or behavioral sciences or a related field.
  • Ability to cope with a variety of people and/or understand the importance of people's needs and feelings in a public/customer service environment.
