POSITION SUMMARY:

The role involves supporting various functions including the management of homeowner warranty requests, overseeing facility operations, processing essential documentation, and ensuring timely posting of records. The individual will compile and update reports, perform data entry, collaborate with Construction Managers, maintain organized files, handle invoice processing, and manage phone communications. This position demands a proactive, detail-oriented individual who thrives in a collaborative environment.

KEY RESPONSIBILITIES:

  • Act as the primary office contact for visitors and inquiries.
  • Manage incoming and outgoing communications, including phone calls, mail, and faxes.
  • Assist in the management and allocation of Customer Care cases.
  • Perform data entry in the Customer Care system, update various reports, and draft correspondence.
  • Order supplies for the main office and field personnel.
  • Maintain office contact lists and manage email distribution lists.
  • Coordinate catering requests and vendor contacts.
  • Process payment requests for field service providers.
  • Handle the transfer of gift cards as necessary.
  • Facilitate check deposits using a check scanner and manage physical check processing.
  • Ensure the upkeep of common areas and serve as the point of contact for facility maintenance issues.
  • Oversee conference room scheduling.

QUALIFICATIONS:

  • High School Diploma or equivalent is required; a College Degree is preferred.
  • Valid Driver's License is necessary.
  • A minimum of 2 years of experience in the construction sector is preferred.
  • Strong organizational and process management abilities are essential.
  • Capability to prioritize tasks and take initiative is required.
  • Detail-oriented team player comfortable in a dynamic work environment.
  • Proficient in Microsoft Word, Excel, and Adobe Acrobat.
  • Experience with JD Edwards and SalesForce is a plus.
  • Excellent communication skills, both written and verbal, along with effective time management skills.
  • Able to manage multiple tasks with competing deadlines professionally.
  • Exhibit a strong work ethic, integrity, and the ability to perform well under pressure.
