Job Description

Clinical Services Coordinator

This role involves assisting with the management of a clinical practice in a busy academic clinical department. Key responsibilities include coordinating patient-related activities, scheduling appointments and procedures, obtaining authorizations, preparing billing and correspondence, and providing excellent customer service.

Key Responsibilities:

  • Scheduling outpatient appointments, surgeries/procedures, diagnostic tests, and admissions as requested
  • Triaging telephone calls, taking messages, and providing information to internal and external customers
  • Preparing and processing billing, and preparing and processing correspondence
  • Maintaining multiple calendars, clinical schedules, surgery/procedure schedules, on-call and office hours
  • Attending meetings and taking minutes when necessary
  • Scheduling travel and lodging for physicians and completing submissions of expenses for travel and other professional expenses
  • Updating CVs in FEDs
  • Creating/editing and distributing letters per attending physician direction
  • Coordinating submission and approval of journal articles, and permissions as directed
  • Coordinating visits for visiting scholars
  • Coordinating visits and interview schedule for the recruitment of faculty
  • On Call Schedule Management with the ability to enter and make changes to the call schedule in appropriate system, Qgenda, etc

Billing Duties:

  • Using the correct CPT code for scheduling procedures/surgeries/admissions and linking correct primary diagnosis
  • Ensuring that all operative reports and encounter forms are turned in for billing within the designated timeframes
  • Maintaining comprehensive knowledge of reimbursement coverage from third-party payers, managed care plans, and protocols for referrals
  • Ensuring all pre-registration items are completed to allow for timely and complete billing
Requirements

Education or Equivalent Experience:

  • H.S. Diploma/GED (Required)
  • And 2+ years Medical office experience, or 2 years of customer service experience. Related clinical office experience required. Prior customer service or insurance verification experience in a healthcare setting preferred.

We offer a competitive salary range of $45,000-$60,000 per year, depending on experience, and a comprehensive benefits package including health, dental, and vision insurance, retirement savings plan, and paid time off.
