POSITION SUMMARY

Under the direct guidance of the CDA Credentialing Manager, the CDA Credentialing Administrative Specialist is tasked with delivering exceptional professionalism and customer service to candidates and stakeholders through daily engagements. This role involves managing credentialing processes and ensuring adherence to the standards and protocols set forth by the CDA credentialing program.

KEY DUTIES AND RESPONSIBILITIES

  • Input paper applications (both initial and renewal) into the YourCouncil system.
  • Assess applications for completeness and accuracy.
  • Handle payment processing
    • Return incomplete applications (initial and renewal) as necessary.
    • Evaluate and render credentialing decisions for renewal candidates.
  • Examine submitted documentation to confirm compliance with Council's requirements.
  • Issue notifications to candidates regarding missing or unacceptable documents
    • Review and determine initial credentialing outcomes for borderline candidates.
    • Evaluate Verification Visit documentation.
  • Communicate issues through problem letters/notifications.
  • Process applications for Special Populations and ensure documentation meets standards.
  • Assist candidates and PD Specialists with assessments in various languages.
  • Train PD Specialists on administering paper exams and distribute exam materials.
  • Score paper exams and issue credentialing decisions
    • Maintain up-to-date credential files and review applicant reports.
  • Follow up on incomplete applications, including missing documents or payments.
  • Document all interactions with candidates.
  • Ensure accurate notes and codes are recorded in YourCouncil/CIMS to reflect the current status of files
    • Maintain and close files appropriately.
    • Complete follow-ups for PDS inquiries related to the Verification Visit process.
    • Assist with customer support inquiries and resolve issues effectively.
  • Conduct research using available resources to gather necessary information.
  • Monitor and respond to Zendesk tickets and emails from stakeholders.
  • Coordinate responses to complaints in collaboration with the CDA Quality Assurance Coordinator and CDA Credentialing Manager II.
    • Address complex credentialing issues requiring assistance from CDA candidates and PDS.
    • Complete PDS Search requests and escalate priority issues as needed.
    • Provide weekly updates to supervisors, including metrics on departmental goals.
    • Collaborate with the CDA Credentialing Manager to enhance processes and improve efficiency.
    • Stay informed about current CDA credentialing requirements and policies.
    • Understand YourCouncil functionalities to assist stakeholders effectively.

ESSENTIAL QUALIFICATIONS

  • High School Diploma or GED equivalent is required.
  • 1-3 years of relevant experience for Specialist I; 4-6 years for Specialist II, both under supervision.
  • Familiarity with the credentialing process.
  • Strong organizational skills and ability to manage multiple priorities.
  • Excellent verbal and written communication skills.
  • Meticulous attention to detail.
  • Capability to research and analyze data effectively.
  • Ability to work independently with minimal oversight.
  • Proficient in Microsoft Office applications (Word, Excel, Access) and internet resources.
  • Demonstrated experience at the specialist level.

Physical Requirements:

· The physical demands described here are typical for successful performance in this role. Regularly operates a computer and maintains a stationary position, while also moving about the office and communicating effectively with others.

· Regularly required to sit, stand, bend, reach, and move within the office environment. May involve occasional lifting and moving of objects weighing up to 25 lbs.

· Must be able to navigate stairs while carrying items as necessary.
