Business Operations Coordinator

Pappageorge Haymes Partners is a leading architectural firm seeking an exceptional Business Operations Coordinator. This dynamic role demands proactive and versatile administrative skills, requiring the ability to manage RFP/Qs, spearhead proposal development, and handle project documentation.
Key Responsibilities:
- Proposal Management: Craft, organize, and track proposal documents with precision, ensuring timely submission and effective communication with clients.
- Contract Negotiations: Prepare and review AIA Owner/Architect Agreements, Architect/Consultant agreements, and other legal documents, maintaining compliance and accuracy.
- Submittals: Participate in or prepare responses to Requests for Proposal/Qualifications, demonstrating expertise and professionalism.
- Insurance Certificates: Request, distribute, and manage certificates for projects, ensuring seamless operations and compliance.
- Client Engagement: Proactively engage with clients and consultants, following up on signed agreements and proposals to maintain strong relationships.
- Document Management: Maintain a well-structured electronic filing system, facilitating easy access and efficient document retrieval.
Requirements:
- Professional Experience: 3+ years of experience in contract documentation preparation, editing, and negotiation within architectural, interior design, engineering, and construction fields.
- Technical Skills: Proficiency in Microsoft Suite, particularly Excel and Word, as well as experience with AIA Contract documents, Mac-based applications (Pages, Numbers, Keynote), Google Apps (Sheets, Docs, etc) and Deltek Vision.
- Soft Skills: Self-motivated, versatile, and highly dependable, with exceptional verbal and written communication skills.
The estimated salary for this role is approximately $65,000 - $85,000 per annum, depending on location and experience.
