We are seeking an experienced Office Manager/HR Coordinator to support our Chicago office. This role involves maintaining a well-organized office, planning events, and handling junior-level HR responsibilities in a hybrid environment with 3 days in-office and 2 days remote.

Responsibilities
  • Maintain a tidy and organized office environment, overseeing logistics including expenses for office items, travel, and mail.
  • Plan and distribute birthday and work anniversary cards, register visitors, manage access badges, and submit maintenance requests.
  • Set up and manage conference rooms for events and client meetings, order lunches and refreshments, and handle phone and voice mail messages.
  • Partner with stakeholders, including building management and vendors, to ensure a welcoming office environment that fosters a positive corporate culture.
Event Planning
  • Coordinate annual company events, gathering feedback to improve future events, and collaborate with teams to understand events and logistics.
HR Coordination
  • Assist with the hiring process life cycle: sourcing candidates, conducting phone screens, scheduling interviews, onboarding new hires, and providing timely feedback.
  • Manage role pipeline metrics and communicate updates with staff, following up with managers and employees on performance reviews, training, and other initiatives.
  • Update and maintain job descriptions, support performance management processes, and develop talent development initiatives.
  • Communicate company policies and procedures to ensure compliance and understanding among staff, supporting employee morale, development, and engagement.
Qualifications & Desired Attributes
  • Bachelor's degree in business administration, human resources, or a related field preferred.
  • 2+ years of relevant experience in office management and/or HR support roles.
  • Strong organizational skills, attention to detail, and ability to prioritize tasks in a fast-paced environment.
  • Excellent written and verbal communication skills, professional demeanor, and positive team-oriented approach.
  • Proficient in Microsoft Office Suite and other relevant software.
