This pivotal position is responsible for delivering exceptional administrative support to Financial Advisors, their current and prospective clients, and other branch personnel.
Key ResponsibilitiesThe ideal candidate will:
- Handle a high volume of daily interactions, addressing inquiries and scheduling meetings with clients through various communication channels.
- Collaborate effectively within a dynamic team environment to provide essential support to financial advisors and branch operations.
- Process client financial transactions and manage expense reports with a high degree of accuracy and organization.
- Open new client accounts and conduct research on client and security information using internal systems.
- Ensure that all client documentation is accurate and compliant with firm and industry standards before submission.
- Prepare letters, forms, and reports to assist in servicing existing clients and attracting new ones.
- Generate business summary reports and client-specific documentation for financial advisor review.
- Utilize Client Relationship Management (CRM) software to maintain records and files.
- Support Financial Advisors in marketing initiatives, including seminars and client engagement events.
- Participate in training and professional development opportunities to stay informed on industry policies and procedures.
The successful candidate will possess:
- A comprehensive understanding of the company's structure, policies, and mission.
- Knowledge of general office practices and investment concepts relevant to the securities industry.
- Proficiency in CRM software and Microsoft Excel for reporting and data management.
- Strong communication skills across various platforms, including in-person, virtual, and written communication.
- The ability to manage multiple tasks and adapt to changing priorities in a fast-paced environment.
- Problem-solving skills to analyze issues and develop effective solutions.
Education and Experience:
A High School Diploma or equivalent is required, along with one or more years of experience in the securities industry or a related field preferred. Alternatively, an equivalent combination of experience, education, and training may be considered.
