Job Description

Virgin Hotels Las Vegas is seeking a highly skilled Group Reservations Manager to lead our Group Reservations team. In this role, you will be responsible for managing all group rooms blocks, maintaining inventory controls, and coordinating with Revenue Management, Front Desk, Sales Managers, and Convention Service Managers to ensure a seamless group rooming experience.


The Essential Job Duties

  • Hiring and training Group Reservation team members to ensure they are equipped to handle all aspects of group reservations.
  • Ensuring all Group Reservations policies and procedures are adhered to, maintaining a high level of customer satisfaction.
  • Providing leadership, guidance, and support to the group reservations team, fostering a positive and collaborative work environment that encourages teamwork and open communication.
  • Building and managing group room block links via Passkey Group Booking Engine, ensuring accurate and up-to-date information.
  • Inputting all rooming lists for sales groups and balancing room blocks by releasing any remaining inventory not contracted, maintaining a high level of accuracy.
  • Managing rooming list changes for guest names, arrival/departure dates, and billing per clients requested within contracted guidelines, ensuring seamless execution.
  • Printing room delegate lists for clients and sales managers upon request, maintaining a high level of professionalism.
  • Partnering and corresponding with group contacts, cultivating professional relationships to enhance the group experience, ensuring exceptional customer service.
  • Acting as liaison between group clients and Front Desk to ensure rooming needs are met, resolving any issues that may arise.
  • Attending pre-convention meetings and other request meetings, maintaining effective communication with all stakeholders.
  • Remaining in constant communication with Revenue Management, Sales Managers, and CSMs to ensure group client rooming experience is seamless, maintaining a high level of coordination.
  • Maintaining a list of individual call-in groups for Reservation Agents to refer to, ensuring accurate and up-to-date information.
  • Maintaining a file for each sales group entered into LMS, keeping all rooming lists, block adjustments, and delegate changes organized and easily accessible.
  • Reconfirming blocks between LMS and Delphi on a weekly basis to ensure that the correct blocks are entered in both systems, maintaining a high level of accuracy.
  • Responsible for analyzing group room pick-up and attrition, communicating this information to clients in a professional and courteous manner, ensuring transparency.
  • Responsible for following up with Revenue Management and Sales to ensure that all rooming lists are received by the cut-off date or as soon as possible, maintaining a high level of coordination.
  • Keeping informed of all room types, packages, and rates, describing rooms, venues, and amenities to clients, ensuring accurate and up-to-date information.
  • Keeping up on all functions and special events pertaining to Virgin Hotels Las Vegas, maintaining a high level of knowledge and awareness.
  • Performing other duties as assigned to assist the Reservations, Revenue Management, and Front Office departments, maintaining a high level of flexibility and adaptability.

Qualifications and Requirements

The ideal candidate will possess strong leadership and communication skills, with the ability to work effectively in a team environment. A minimum of two years of experience in Passkey system is required, with a strong attention to detail and ability to maintain accurate records.


Preferred Qualifications

  • A minimum typing speed of 45 WPM.
  • Minimum one year of experience in hotel Group Sales, Reservations, or Front Desk operations.
  • Familiarity with the equipment and computer systems associated with the position, including but not limited to Agilysys LMS (PMS) and Delphi.

Working Conditions

This role requires sitting for long periods of time, with long visual exposure to computer screens. The ideal candidate will be able to work effectively in a fast-paced environment, with the ability to adapt to changing priorities and deadlines.
