Job Overview

Position Summary:

The Healthcare Reception Specialist is responsible for managing all front desk operations within a medical facility that focuses on LGBTQ+ primary care and HIV health services. This role reports directly to the Director of Health Services at the AARC Health Equity Clinic.

Key Responsibilities:

  • Welcome patients and facilitate their check-in process for scheduled appointments.
  • Manage incoming and outgoing telephone communications.
  • Coordinate the scheduling of new and follow-up patient appointments, including laboratory tests.
  • Gather demographic and insurance details from new patients prior to their visit.
  • Confirm insurance coverage, eligibility, and prior authorizations using electronic medical records and state databases.
  • Collect copayments associated with office visits.
  • Create and maintain patient records in the electronic health record system, ensuring accurate data entry.
  • Prepare copayments for health insurance programs.
  • Contact patients to confirm appointments and inform them of their financial obligations before their visit.
  • Assist in compiling the monthly supply inventory for the clinic.
  • Process monthly data entries into the database.
  • Perform additional duties as assigned.

Qualifications & Skills:

  • Proficient in using electronic medical records systems.
  • Excellent verbal and written communication abilities.
  • Empathetic, caring, and a positive demeanor.
  • Capable of effectively interacting with individuals from diverse backgrounds, including various races, ethnicities, nationalities, sexual orientations, gender identities, socio-economic statuses, religions, ages, and physical abilities in a multicultural setting.
  • Bilingual in Spanish is advantageous.

Education & Experience:

  • A minimum of one year of experience in a medical office or receptionist role.
  • An associate degree is preferred but not mandatory.

Work Schedule:

  • Standard hours are Monday to Friday, 8 AM to 4:30 PM.
  • Flexibility in scheduling may be required.

Requirements:

  • Must possess a valid driver's license and maintain current automobile insurance coverage. Ability to travel as necessary and meet the driving record standards set by the company's insurance provider if driving a company vehicle or personal vehicle for business purposes.
