Job Overview

We are looking for a dedicated and organized Healthcare Reception Specialist to join our busy medical practice. This role is essential in ensuring that our operations run smoothly as we cater to a high volume of patients daily. The ideal candidate will possess strong communication skills and a commitment to providing exceptional service to our patients.

Main Responsibilities

The responsibilities of this position include:

  • Preparing the clinic for daily operations, including managing phone calls and overseeing faxes and referrals to ensure timely processing.
  • Welcoming patients, representatives, and visitors with professionalism and courtesy. This includes checking in patients, verifying their insurance benefits and personal information, and accurately entering data into our electronic medical records (EMR) system.
  • Coordinating appointment scheduling and ensuring messages are directed to the appropriate personnel.
  • Assisting the checkout process by scheduling follow-up appointments, processing copayments, managing account receivables, and providing necessary documentation for billing.
  • Performing additional tasks as assigned by the front desk supervisor to support the clinic's operations.
Qualifications

The successful candidate will possess:

  • A high school diploma or equivalent.
  • A minimum of one year of experience in a clinical environment.
  • Eligibility to work in the United States.
  • The ability to manage multiple administrative tasks effectively, including phone communication and patient interactions.
  • Familiarity with Athena practice management and Modernizing Medicine (EMA) EMR systems is advantageous but not mandatory.
  • Bilingual proficiency in Spanish is preferred but not essential.
Physical Requirements

This position requires:

  • Prolonged periods of sitting, as well as the ability to stand, walk, and reach with hands and arms.
  • Occasional bending, kneeling, or crouching.
  • A normal range of hearing and vision to perform daily tasks.
  • Basic computer literacy and familiarity with standard office equipment such as keyboards, fax machines, and copiers.
