Department Overview:

We are seeking a meticulous individual who values both the overarching goals and the finer details within our Financial Aid and Scholarships Office. Level Scope:

This position involves regularly engaging in varied and complex tasks. The individual will utilize their comprehensive job knowledge, frequently adapting procedures, techniques, tools, and materials to meet specialized requirements. This role may involve leading a team, executing broad or focused assignments under general supervision, and often necessitates creativity and innovation to establish effective procedures in the functional area.

Essential Functions:

60% of the time, the Senior Technical Records Analyst will:

  • Serve as the subject matter expert in the Technical Records series, distinguishing this role from lower levels by offering consultation on legal requirements and applicability. This position typically leads a unit, guiding the work of junior Technical Records Specialists and providing training.
  • Clarify priorities, resolve issues related to staff assignments, schedule tasks, train personnel, review work for compliance with regulations, prepare performance evaluation inputs, coordinate the hiring process, and recommend candidates for employment. Additionally, this role will provide work direction and address inquiries requiring subject matter expertise, track and analyze process-related issues, and collaborate with IT for system enhancements.
  • Examine documents to determine necessary actions, ensure accuracy, and compliance with policies. This includes researching, analyzing, and resolving complex processing issues, correcting or rejecting incomplete submissions, and communicating with customers to clarify changes or resolve discrepancies. The role also involves interpreting laws and regulations, reviewing legal documents for inconsistencies, composing correspondence to address issues, and advising customers on their rights.

25% of the time, the Senior Technical Records Analyst will:

  • Perform technical support duties related to the verification, awarding, disbursement, and return of federal student aid funds to ensure compliance.
  • Maintain compliance with various financial aid regulations, including Return of Title IV aid calculations and other reporting requirements.
  • Create and manage Federal Student Aid record files in accordance with departmental protocols.
  • Assist with financial aid processes for students involved in special programs.
  • Draft and send effective written communications to diverse recipients.
  • Engage in additional projects as assigned to support the Financial Aid and Scholarships Office.

10% of the time, the Senior Technical Records Analyst will:

  • Support the production team lead in achieving key objectives and strategies aimed at enhancing processes and team culture.
  • Assist in cross-training team members in various aspects of financial aid processing.
  • Act as the primary resource for resolving processing issues and addressing policy inquiries.

5% of the time, the Senior Technical Records Analyst will:

  • Perform other assigned duties as necessary.
Knowledge, Skills, Abilities:
  • Understanding of administrative and clerical procedures and systems.
  • Familiarity with customer service principles and processes.
  • Ability to effectively communicate information and ideas.
  • Capability to manage time and prioritize tasks for oneself and others.
Minimum Qualifications:

Some knowledge of supervisory practices is required. Experience in records management, interpreting and applying state or federal laws, reviewing legal documents for compliance, and creating correspondence using word processing software is essential.
