Position Summary

The Project Coordinator will act as the primary liaison to the Medical Communication Execution Leads (MCELs).

This role is responsible for the transactional financial oversight of the Scientific Communications & Engagement team's budget, managing project tasks related to congress activities, Datavision, and publication databases.


Key Responsibilities

1. Comprehend the budgetary processes relevant to each therapeutic area and ensure project delivery aligns with financial parameters.

2. Collaborate with the Finance team to address invoicing discrepancies and resolve various financial challenges as they arise.

3. Process Statements of Work (SOWs) through internal systems to secure Service Order numbers.

4. Reconcile and finalize Service Orders within established timelines.

5. Generate financial status reports for distribution to internal and external stakeholders, including leadership and project managers.

6. Serve as a trusted advisor to MCELs, assisting in budget reconciliation and troubleshooting invoicing issues.

7. Manage onboarding and offboarding requests for agency partners.

8. Support Datavision-related tasks, including author debarment checks and report generation.

9. Provide additional operational support as requested by MCELs to facilitate overarching project goals.

Qualifications & Experience

- 2 to 4 years of professional experience; a college degree is preferred.

- A minimum of 1-2 years of experience in a Medical Communications agency or within the Pharmaceutical/Healthcare sector is preferred.

- An analytical or financial background is advantageous.

- Proven ability to manage projects and meet critical deadlines.

- Highly detail-oriented with exceptional organizational and time management skills.

- Ability to work collaboratively across functions and prioritize multiple tasks in a fast-paced environment.

- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiar with electronic routing and accounts payable processes.

- Experience with SAP, Ariba, Icertis, and RPM is preferred; a demonstrated ability to learn new technologies is essential.

- Strong interpersonal and communication skills are crucial.
