Position Overview:

The Critical Care Coordinator is responsible for overseeing program management and providing administrative assistance for the Sound Physicians Critical Care initiative across designated healthcare facilities.

Key Responsibilities:

In this position, your duties will include:

  • Acting as the primary liaison for Sound Critical Care (SCC) hospital programs.
  • Depending on the role, supporting multiple SCC locations as assigned.
  • Delivering operational and administrative support services, including coding, billing, payroll, physician scheduling, data analysis, meeting coordination, documentation, and calendar management.
  • Providing program support that encompasses both a primary site and virtual assistance to additional hospitals, with occasional on-site presence required.
  • Collaborating with hospital partners on-site.
  • Assisting the Program Medical Director (PMD) by participating in SCC team meetings and collaborating with hospital teams.
  • Preparing and organizing presentations using Excel and/or PowerPoint for Sound or hospital Joint Operating Committees and executive leadership.
  • Coordinating and/or attending leadership meetings for Sound and/or the hospital.
  • Managing incoming communications, including calls, mail, messages, and faxes for the local SCC team to ensure priority items receive appropriate attention.
  • Conducting census reconciliation by gathering and distributing necessary data from providers, and engaging the PMD or Regional Medical Director (RMD) when providers do not submit census information timely.
  • Recording or reviewing patient medical data through electronic medical records and performing data entry tasks using Microsoft Office Suite.
  • Organizing and maintaining the SCC office, ensuring a reliable filing system for the last 12 months of census management and easy retrieval of information.
  • Assisting the PMD and/or RMD in managing and distributing the physician schedule within the program, ensuring real-time updates as changes are confirmed.
  • Facilitating the onboarding process for providers (permanent, 1099, and locums) at the local site and virtually for other SCC locations as needed.
  • Supporting the PMD and RMD in tracking and recording locum/temp labor shifts.
  • Assisting the PMD with the locum process, including agency contacts, credentialing follow-up, onboarding, and scheduling.
  • Exemplifying exceptional customer service to both internal (hospital and Sound Physicians) and external stakeholders.
  • Aiding the SCC Regional Leadership Team and PMD in scheduling meetings and ensuring attendance for hospital-related functions, including team meetings and committee meetings, while keeping minutes.
  • Monitoring committee membership and attendance records for team intensivists/providers on various assigned committees.
  • Supporting the RMD, PMD, and Sound recruiter in arranging physician interviews and related logistics.
  • Assisting with data management, including tracking, trending, and preparing quality reports as required by the SCC dashboard and program-specific performance metrics.
  • Ensuring onboarding logistics are established for new intensivists.
  • Following up on the off-boarding process for clinicians who resign.
  • Coordinating and facilitating credentialing and privileging for hospitalists on-site.
  • Ensuring that intensivists have the necessary access to hospital and Sound computer systems.
  • Performing other assigned duties as necessary.

Required Knowledge and Experience:

  • Bachelor's Degree or an Associate Degree with equivalent work experience.
  • 1-2 years of experience in healthcare customer service.
  • Proficient in Microsoft Office Suite (Excel, PowerPoint, Word).

Compensation:

Pay range is $22-$30 per hour, with the exact amount determined by candidate experience, geographical location, and the complexity of the supported program(s).
