Position Overview:

The Critical Care Program Administrator will oversee program management and provide essential administrative assistance for the Sound Physicians Critical Care initiative across designated healthcare facilities.

Key Responsibilities:

In this capacity, your duties will include:

  • Acting as the primary liaison among Sound Critical Care (SCC) hospital initiatives
  • Depending on the role, may assist multiple SCC locations as designated
  • Delivering operational and administrative support (e.g., coding, billing, payroll, physician scheduling, data analysis, meeting coordination, documentation, calendar oversight, etc.)
  • Hospital program assistance will encompass a primary site and virtual support to additional facilities with occasional on-site involvement
  • Collaborating with on-site hospital partners
  • Supporting the Program Medical Director (PMD) by participating in SCC team meetings and engaging with on-site hospital teams
  • Organizing and aiding in the development of Excel and/or PowerPoint presentations for Sound or hospital leadership
  • Coordinating and/or attending leadership meetings for Sound and/or the hospital
  • Managing incoming communications for the local SCC team to ensure priority items receive appropriate attention
  • Conducting census reconciliation by gathering and distributing necessary data from providers as required. Engaging the PMD or Regional Medical Director (RMD) promptly when providers neglect to submit census data at the end of their shifts. Reconciling patient census information in the online program (Sound Connect)
  • Recording or reviewing patient medical data through electronic medical records and/or data entry tasks utilizing Microsoft Office Suite functions
  • Organizing and maintaining the SCC office, including a reliable filing system for rolling 12 months of census management and on-demand retrieval of census information
  • Assisting the PMD and/or RMD in maintaining and distributing the physician schedule within the program and ensuring real-time updates to online scheduling as changes are confirmed
  • Facilitating onboarding for providers (permanent, 1099, and locums) at the local site and virtually for other SCC locations as necessary
  • Assisting the PMD and RMD in tracking and recording locum/temp labor shifts
  • Supporting the PMD with the locum process, agency communication, credentialing follow-up, onboarding, and scheduling as needed for the site
  • Consistently exemplifying the highest level of customer service to both internal (hospital and Sound Physicians) and external clients
  • Assisting the SCC Regional Leadership Team and the PMD in scheduling meetings and ensuring attendance for hospital-related functions, including team meetings, hospital committee meetings, and Joint Operating Committee meetings (if applicable), while keeping meeting minutes
  • Tracking committee membership and attendance records for team intensivists/providers on various assigned committees
  • Supporting the RMD, PMD, and Sound recruiter in scheduling physician interviews and related logistics
  • Assisting with data management, including tracking, trending, and preparing quality reports as required by the SCC dashboard and/or program-specific performance metrics
  • Ensuring onboarding logistics are established for new intensivists
  • Following up on the off-boarding process for clinicians who resign
  • Providing on-site coordination and facilitation for credentialing and privileging of hospitalists
  • Ensuring that intensivists have the necessary access to hospital and Sound computer systems
  • Performing other duties as assigned

Educational Background:

  • Bachelor's Degree or an Associate Degree with equivalent professional experience

Relevant Experience:

  • 1-2 years of experience in healthcare customer service
  • Proficient knowledge and experience with Microsoft Office Suite (Excel, PowerPoint, Word)

Compensation: $22-$30 per hour. Exact compensation will be determined based on the candidate's experience, geographical location, and the size/complexity of the program(s) being supported.
