Job Overview

POSITION SUMMARY:

The Aviation Maintenance Records Supervisor plays a crucial role in ensuring that all aviation data is accurately documented and maintained in accordance with FAA regulations and organizational policies. This position serves as the primary contact for inquiries related to logbooks and electronic record-keeping systems. The supervisor is also available outside of regular hours to assist Field Mechanics and Pilots with any documentation or electronic record-keeping issues.

QUALIFICATIONS:

  • High school diploma or equivalent is required; a Bachelor's Degree or Airframe and Power Plant Licenses are preferred.
  • A minimum of 5 years of record-keeping or relevant administrative experience in the aviation sector, particularly with CFR 135 background.
  • Intermediate to advanced proficiency in MS Office applications.
  • Prior supervisory experience managing multiple staff members.
  • Extensive knowledge of both paper and electronic aircraft logbooks and maintenance records.
  • Thorough understanding of aircraft record-keeping requirements and Federal Aviation Regulations.
  • Experience with aviation electronic record-keeping systems, including account management, aircraft configuration, life-limited parts, and maintenance activity documentation.
  • Proven ability to organize tasks and work independently or collaboratively.
  • Strong attention to detail and self-motivated with a commitment to safety and regulatory compliance.
  • Willingness to travel as needed and possess a valid driver's license with a reliable vehicle.

KEY RESPONSIBILITIES:

  • Ensure the accuracy of filing systems and maintain hard copies of aircraft flight logs and maintenance documents.
  • Oversee the maintenance of aircraft records, maintenance data, and flight data in compliance with FAA regulations and company policies.
  • Review aircraft and engine maintenance log pages to ensure adherence to current regulations and manufacturer maintenance programs.
  • Monitor the accuracy and usage of the electronic record-keeping system.
  • Possess in-depth knowledge of the electronic record-keeping system to configure aircraft, develop maintenance programs, and troubleshoot user issues.
  • Act as a liaison between the electronic record-keeping software provider and the organization for any arising issues.
  • Assist in ensuring aircraft conformity for the 135 certificate by reviewing prior records and building the aircraft and maintenance program in the electronic system.
  • Ensure accurate tracking of all aircraft MELs and ADs in the electronic record-keeping system and in the aircraft logbook.
  • Serve as a point of contact with various leasing companies, providing monthly reports and overseeing annual audits and aircraft lease returns.
  • Supervise Records Department staff, participating in recruitment, performance evaluations, and corrective actions.
  • Prioritize daily tasks and respond to urgent needs as they arise.
  • Provide after-hours technical support for the electronic aviation record-keeping system.
  • Conduct periodic audits of records for completeness and accuracy.
  • Prepare standard and recurring reports and retrieve data from files or databases as needed.
  • Perform administrative and clerical duties as required.
  • Assist with documentation issues that arise outside of normal business hours.
