The Commercial Leasing team is responsible for the leasing operations of this portfolio, working directly on behalf of the landlord and supervising third-party leasing brokers.
We are seeking a meticulous Leasing Operations Specialist to assist the Director of Leasing with various operational tasks. This role encompasses administrative duties, client interactions, and logistical support to facilitate seamless operations and transactions. The individual in this position will be integral in supporting the Director of Leasing's daily functions. Strong organizational abilities, attention to detail, and effective multitasking are essential for success in this role.
Key Responsibilities:
Prospect Management:
- Address inquiries from potential tenants regarding available properties.
- Coordinate and assist in property tours to showcase available spaces.
- Support the Director in fostering relationships with prospects and addressing inquiries throughout the leasing process.
- Maintain and manage prospect and partner data within a Customer Relationship Management (CRM) system, ensuring data accuracy and integrity.
- Monitor deals from initiation to completion, assisting with status updates.
- Help prepare lease agreements and related documentation.
- Facilitate tenant onboarding with both internal and external stakeholders.
- Ensure timely and accurate completion of all necessary paperwork.
- Calculate leasing commissions, submit payment requests, and verify commission payments.
- Conduct market research to stay updated on current trends and rental rates.
- Track all available leasing spaces and ensure appropriate signage is displayed.
- Regularly refresh website content, including text, images, and multimedia.
- Develop and execute marketing strategies, including promotional materials and email campaigns to attract potential tenants.
- Update marketing collateral and manage the distribution process as needed.
- Ensure property listings are current across all platforms.
- Organize events for brokers, such as tournaments or networking gatherings.
- Oversee and manage leasing-related email communications.
- At least 5 years of high-level administrative experience.
- Associate or Bachelor's degree preferred.
- Experience in Commercial Real Estate is advantageous.
- Familiarity with Build Out, LoopNet, and MLS is a plus.
- Experience managing a Customer Relationship Management (CRM) system is beneficial.
- Bi-lingual (English/Spanish) is strongly preferred.
- Experience with Yardi systems is an asset.
- Excellent written, verbal, and interpersonal communication skills.
- Able to collaborate effectively with various organizational levels and vendors.
- Proficient in managing multiple tasks in a fast-paced environment while meeting deadlines.
- Detail-oriented with strong skills in composing, typing, and proofreading materials.
- Proficient in using computers and software for data entry and information processing.
- Ability to work independently and follow through on assignments with minimal supervision.
- Effective communication skills in both verbal and written formats in English.
- Ability to follow instructions and organize work for timely completion.
- This position is primarily office-based.
- Some remote work may be permitted but could be subject to change.
