Job Summary

We are seeking a highly skilled Property Manager to join our team at The Graham Companies. As a key member of our property management team, you will be responsible for overseeing the day-to-day operations of our multifamily communities, ensuring exceptional customer service, and driving business growth.

Key Responsibilities
  • Manage the timely collection of rent and other fees, ensuring compliance with lease agreements and company policies.
  • Respond promptly to resident issues, providing effective solutions and maintaining high resident retention levels.
  • Ensure accurate and timely completion of applications and lease documents.
  • Analyze renewal expirations, loss to lease, and provide feedback to the executive team to inform renewal strategies.
  • Enforce and monitor lease renewal processes, adhering to company follow-up procedures.
  • Prepare variance reports, leasing bonuses, and month-end lists.
  • Operate and maintain community access systems, ensuring secure and convenient access for residents.
  • Utilize company software applications and property management systems (YARDI) to streamline operations and improve efficiency.
  • Collaborate with Maintenance Supervisors to ensure timely completion of work orders and resident satisfaction.
  • Manage porter schedules, including daily tasks and project work.
  • Inspect properties, ensuring grounds and amenities are clean and well-maintained, and schedule work with maintenance or vendors as needed.
  • Perform move-out inspections with Maintenance Supervisors to determine unit condition and needs for repair or replacement.
  • Determine resident responsibility for damages, request repair or replacement costs, and prepare deposit accounting worksheets.
  • Create purchase order requests for office supplies, maintenance supplies, appliances, and vendor estimates as needed.
  • Approve invoices, ensuring billed work was completed.
  • Maintain licenses and permits, following through with annual inspections and coordinating corrective measures to renew permits.
  • Oversee leasing staff, motivating them to achieve leasing goals and ensuring proper training and documentation of performance reviews and disciplinary actions.
  • Conduct meetings to keep staff informed about property issues, company policies, and office goals, leading by example.
  • Provide support to the Executive team to identify community goals and objectives.
Requirements and Qualifications
  • 5+ years of experience managing 350+ unit market-rate multifamily communities and their amenities.
  • New construction, development, and pre-leasing experience is preferred.
  • Ability to interact and communicate with individuals at all levels of the company.
  • Ability to work in a fast-paced environment, juggling multiple competing tasks, demands, establishing priorities, following up, and meeting deadlines.
  • Excellent organizational and time management skills, with the ability to multi-task and follow through.
  • Bi-lingual (English/Spanish) is a plus.
  • Excellent verbal and written communication skills, strong administrative and organizational skills, effectively managing time and setting priorities.
  • Skill in using computers and computer systems (including hardware and software) to set up functions, enter data, and process information.
  • Skill in using mathematics to solve basic problems.
  • Skill in working independently and following through with assignments with minimal direction.
  • Skill in adapting to a changing work environment, competing demands, and ability to deal with frequent change, delays, or unexpected events.
  • Intermediate level ability to operate a computer using Microsoft Office products (Word and Outlook) and learn to use applicable division and organization-specific software.
  • Ability to establish and maintain accurate records.
  • Ability to regularly attend work and arrive punctually for designated work schedules, with availability from 8am-7pm.
