POSITION SUMMARY:
Accountable for addressing customer inquiries, managing documentation related to freight movement, and executing various administrative and customer service tasks essential for the effective functioning of the service center.

KEY RESPONSIBILITIES:

  • Conduct administrative and clerical tasks, including maintaining records, copying, imaging, answering calls, data entry, and sorting/distributing mail and packages.
  • Ensure accuracy and completeness of necessary documentation and reports.
  • Deliver precise information and support to customers, which encompasses identifying pick-up and delivery requirements, resolving issues, updating systems to accommodate special handling requests, promoting company services, and generating potential sales leads.
  • Input freight shipment details into the computer system, including tracking shipments, generating freight bills, and rectifying discrepancies.
  • Oversee the freight pick-up process as needed.
  • Assist customers through phone, email, and fax with inquiries, including tracking shipments, providing rate quotes, addressing tariff discrepancies, and resolving billing questions.
  • Schedule freight delivery appointments as necessary.
  • Review drivers' Hours-of-Service logs for accuracy and report any discrepancies to the appropriate leadership.
  • Support city operations by checking in drivers, processing related documentation, and coordinating drop-off and collection situations.
  • Collaborate with sales, operations, and other service centers or departments to fulfill customer needs and resolve issues.
  • Reconcile cash and checks collected, prepare deposits, and manage COD check remittance to customers as required.
  • Adhere to all relevant laws and regulations, as well as company policies and procedures.
  • Perform additional duties as assigned.
QUALIFICATIONS:
  • High school diploma or GED.
  • Preferred: Two years of general office experience.
  • Preferred: One year of customer service experience.
  • Preferred: Previous experience in transportation.
  • Strong interpersonal and communication skills.
  • Ability to perform basic math calculations, with or without a calculator.
  • Proficient written and verbal communication skills.
  • Capability to understand various FedEx service products to assess customer needs.
  • Familiarity with general office equipment, such as computers, fax machines, copiers, and scanners.
  • Typing and data entry skills.
  • Preferred: Ten-key skills.
  • PC experience with the ability to learn required computer systems and programs.
  • Demonstrated time management, organizational, and multitasking abilities.
  • Ability to manage confidential information.
  • Capacity to follow instructions and complete necessary training.
  • Ability to work independently and as part of a team.
  • Ability to thrive in a fast-paced team environment.
WORKING ENVIRONMENT:
  • Office and dock setting.
  • Fast-paced and deadline-driven.
  • Work hours may vary based on operational requirements.
