Position Summary

We are seeking an Administrative Specialist to provide vital support to key personnel within the Space Science & Security Program (SSSP), a critical component of our Intelligence initiatives. In this role, you will play a pivotal part in the operational functions of your team, driving them towards the successful completion of their objectives. Your ability to foresee potential challenges and propose effective solutions will be essential in ensuring the team's operational success.

Key Responsibilities

  • Execute a wide range of complex administrative tasks, including managing schedules, coordinating global travel, processing financial documentation, and organizing meetings while adhering to security protocols.
  • Serve as a primary contact for various program areas, representing key personnel in daily operations and addressing inquiries from all levels of management.
  • Draft and prepare both classified and unclassified communications, reports, and presentations utilizing data from diverse sources.
  • Independently tackle problems of significant scope and complexity.
  • Research and interpret organizational policies and procedures to ensure compliance.
  • Perform additional duties as assigned to support team objectives.

Required Qualifications

  • Proven experience delivering high-quality administrative support in a fast-paced team environment.
  • Ability to work autonomously under tight deadlines.
  • Exceptional communication skills for effective collaboration with a diverse range of individuals.
  • Strong organizational abilities with meticulous attention to detail and capacity to manage multiple priorities.
  • Demonstrated problem-solving capabilities, sound judgment, adaptability, and dependability.
  • Advanced proficiency in computer applications, particularly Microsoft Office, email, and scheduling tools.
  • Experience in compiling, monitoring, and reporting data and outcomes.

Preferred Qualifications

  • Familiarity with LINCS as a TRR and/or willingness to pursue TRR certification.
  • Experience in handling classified information with discretion.
  • Proficiency in managing complex clearance requirements across various settings.
  • Ability to obtain and maintain appropriate security clearance in a Sensitive Compartmented Information (SCI) environment.
  • Knowledge of LLNL policies and procedures.

Additional Information

This position is classified as Career Indefinite and is open to both internal and external candidates.

Security Clearance Requirements

A Department of Energy (DOE) Q-level clearance is required for this position, along with the ability to obtain and maintain Sensitive Compartmented Information (SCI) access.
