Job SummaryWe are seeking a highly skilled and organized Office Manager to join our team. As a key member of our operations team, you will play a critical role in the growth and expansion of our local franchise. Your primary responsibilities will include scheduling and overseeing the installation of projects, assisting with marketing efforts, and ensuring seamless communication with customers and installers.
Key Responsibilities- Marketing & Customer Relations
- Promptly and properly schedule all leads to appointments for our sales team.
- Follow up on open proposals as needed to ensure timely completion.
- Support and participate in home shows to showcase our products and services.
- Support local marketing efforts as needed to drive business growth.
- Keep our showroom and office organized and presentable to reflect our brand's image.
- Assist in the development, management, and delivery of local marketing tactics to achieve business objectives.
- Resolve customer conflicts in a timely and professional manner.
- Financials
- Complete job costing reports within 24 hours of completing an installation to ensure accurate financial tracking.
- Track, prepare, and manage timely payment and invoices of business-related expenses.
- Production
- Meet with our sales staff weekly to discuss recent sales and review customer expectations and product orders.
- Order all necessary products for jobs accurately and follow up on delivery to ensure timely completion.
- Pick and deliver materials to job sites when needed to support our installation team.
- Schedule jobs to meet the schedule of customers and installers, ensuring seamless execution.
- Communicate with installers and customers on start dates and times, and update them on ongoing job progress.
- Discuss and obtain written permission for any changes in contracted work.
- Confirm the scope of work and compensation with installers prior to the start of each job.
- Update our project management system daily with job status and upcoming schedule information.
- Continuous Improvement
- Attend weekly meetings with our Franchise Owner at scheduled times to discuss business performance and goals.
- Submit a weekly report on our progress and challenges via email.
- Work collaboratively with our team to meet weekly and monthly goals.
- Be available to attend training seminars at the discretion of our Franchise Owner.
- Make decisions and act in accordance with our company's core values and mission.
- Strong communication skills, particularly over the phone, to effectively interact with customers and team members.
- Organized, detail-oriented, and able to multitask to manage multiple priorities and deadlines.
- Able to work independently without supervision, with a high level of autonomy and accountability.
