Role Summary: The Service Dispatcher is integral to the efficient functioning of the service department within the dealership. This role encompasses managing service bookings, liaising with technicians, and delivering outstanding customer service. The ideal candidate will possess exceptional organizational skills, strong communication capabilities, and a genuine enthusiasm for the automotive sector.

Key Responsibilities:

  • Appointment Management: Skillfully manage service appointments for clients, ensuring technician workloads are balanced and wait times are minimized.
  • Customer Engagement: Welcome and assist clients upon arrival, collecting essential information and addressing any inquiries or concerns.
  • Work Order Oversight: Generate and oversee work orders, guaranteeing that all pertinent information is accurately documented and conveyed to the service team.
  • Technician Assignment: Allocate service tasks to technicians based on their expertise and availability, while monitoring progress to ensure timely completion of repairs and maintenance.
  • Communication Facilitation: Serve as a communication bridge between clients and technicians, providing updates on service progress and resolving any issues that may arise.
  • Parts and Inventory Management: Keep track of parts inventory and collaborate with the parts department to ensure necessary components are available and ordered as required.
  • Quality Control: Ensure adherence to all service protocols and that work is performed to the highest quality standards.
  • Client Follow-Up: Conduct follow-up communications to gauge customer satisfaction and address any post-service concerns.
  • Record Maintenance: Maintain precise records of service activities, including appointments, work completed, and customer interactions.
  • Administrative Duties: Execute various administrative tasks such as data entry, filing, and maintaining departmental documentation.

Qualifications:

  • Experience: Prior experience in a service dispatcher role or a similar position within the automotive field is preferred.
  • Skills: Strong organizational and multitasking abilities; excellent communication and interpersonal skills; proficiency in dealership management software and Microsoft Office Suite.
  • Customer Service: Proven ability to deliver exceptional customer service and manage challenging situations with professionalism and empathy.
  • Technical Insight: Basic knowledge of automotive repair and maintenance is advantageous.
  • Education: High school diploma or equivalent; additional certification or training in automotive service management is a plus.

Physical Requirements:

  • Ability to sit or stand for extended periods.
  • Occasional lifting or moving of items up to 25 pounds.
