We are seeking a highly organized and detail-oriented Human Resources Coordinator to join our team at PlanetArt. As a key member of our HR department, you will play a critical role in supporting the planning, execution, and tracking of all HR functions.

Key Responsibilities:
  • Assist with recruiting efforts, including posting job openings, conducting phone screens, and scheduling interviews.
  • Support the leadership team in managing the new hire process, including drafting offer letters, sending pre-employment documents, and conducting reference checks.
  • Schedule meetings, new hire orientations, and HR events, as well as complete off-boarding administration for employees as needed.
  • Assist staff and leadership with completing and arranging employee-related forms, prepare materials for meetings and events, and coordinate lunch as needed.
  • Respond to employee inquiries about pay, benefits, and systems, and escalate when required.
  • Manage policy acknowledgements and training records, leaves of absence, disability, workers' compensation, unemployment claims, and safety programs.
  • Process weekly invoices for on-site staffing agencies in a timely and accurate manner.
  • Utilize HR system (Paychex) to add and update employee information, run ad hoc reports, assist employees with login and access, and train on the use of timeclocks.
  • Maintain employee files and assist with administration of the office, including providing key card access and updating HR boards and intranet throughout the year.
  • Contribute to policy development, communicate and interpret employee handbook, employee directory, and organizational chart, and have a visible role in daily walk-throughs on the manufacturing floor.
Requirements:
  • Bachelor's degree in business, management, or human resources preferred.
  • 3+ years of experience in the HR field, providing similar administrative duties.
  • Fluency in English and Spanish.
  • Exceptional interpersonal skills, ability to work collaboratively and cross-departmentally.
  • Excellent written, verbal, and communication skills.
  • Proficient with MS Word, Outlook, Excel, and PowerPoint.
  • Understanding of general human resources policies and procedures.
  • Solid knowledge of employment/labor laws.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Flexible and able to work well under pressure.
  • Strong organizational skills and task-oriented.
Working Conditions:
  • Work is performed in a combination warehouse and office environment with low to moderate noise levels.
  • Occasional lifting of up to 20 pounds.
  • Regular, continuous use of computer.
  • Regular sitting, standing, and walking.
  • Regular interaction with team members through in-person, phone, WebEx, Slack, or email.
  • May require occasional travel.
  • This is an onsite position; employees are expected to be in the office five days per week (Monday-Friday) along with limited weekends during Peak season in Q4.
