Job Summary

We are seeking a highly organized and detail-oriented Office Administrative Assistant to join our team at Ultimate Staffing Services. As an Office Administrative Assistant, you will be responsible for providing exceptional customer service, managing daily office operations, and supporting our team members.

Key Responsibilities
  • Communication: Respond to emails, texts, and calls in a timely manner, and route calls appropriately when necessary.
  • Sales Support: Enter estimates promptly, deposit checks daily, and ensure timely invoicing of completed jobs.
  • Scheduling & Documentation: Schedule customer appointments, maintain calendar accuracy, prepare daily folders for the crew, and ensure all job paperwork is complete and organized.
  • Warranty & Payment Coordination: Process warranty work, gather necessary information for reimbursement, and send personalized receipt emails to customers.
  • Team Support: Assist teammates with tasks, manage office supplies and vendor relations, and troubleshoot equipment issues while promoting excellent customer service.
Requirements

To be successful in this role, you must have excellent communication and organizational skills, be able to work independently, and have a positive attitude. You should also be able to maintain confidentiality and handle sensitive information with discretion.
