Job Summary

The Human Capital Coordinator provides comprehensive administrative, analytical, and operational support to the Human Capital department. With a primary focus on talent acquisition, HR reporting, research, and administrative tasks, this role is essential to ensuring a smooth recruitment process, maintaining accurate data, conducting research, and supporting the broader HC team.

Key Responsibilities:
  • Talent Acquisition Support:
    • Manage all stages of the recruitment process, including posting job ads, scheduling interviews, and maintaining communication with candidates.
    • Conduct initial phone screenings and coordinate with hiring managers to ensure a positive candidate experience.
    • Prepare and manage offer letters, employment contracts, and new hire documentation.
    • Assist with onboarding, ensuring timely completion of all paperwork, orientation sessions, and necessary training.
    • Track recruitment metrics such as time-to-fill and candidate satisfaction to assess the effectiveness of talent acquisition strategies.
  • Reporting, Analytics & Data Management:
    • Assist in maintaining and updating employee records in the HRIS (Human Resource Information System), ensuring data accuracy and compliance with internal policies and regulations.
    • Generate and analyze reports on key metrics, including employee headcount, turnover rates, time-to-fill, and other KPIs to support data-driven decision-making.
    • Assist with workforce analysis by preparing detailed reports on staffing trends, demographics, and turnover projections.
    • Track employee changes, including promotions, terminations, and role transitions, ensuring data accuracy and timely updates in HRIS.
  • Administrative Support:
    • Provide general administrative support to the HC team, including scheduling meetings, preparing documentation, and managing employee files.
    • Support department through cross-functional training in areas of payroll, benefits, employee management, etc.
    • Organize and maintain electronic and physical personnel files, ensuring document compliance and confidentiality.
  • Research & Policy Support:
    • Conduct research on best practices, compensation trends, and compliance requirements to support the development of policies and procedures.
    • Assist in updating the employee handbook and other policy documents to ensure compliance with state and federal regulations.
    • Research industry benchmarks and support salary surveys to provide insights into competitive compensation strategies.
    • Stay updated on labor law changes and help ensure the organization remains compliant with employment regulations.
    • Conducts market analysis and proactive research programs and tools to ensure we remain competitive.
    • Compliance Support:
      • Assist with ensuring all activities comply with local, state, and federal employment laws, with a focus on accurate record-keeping and reporting.
      • Assist in audits related to employee data, ensuring records are accurate and up-to-date.
    Requirements:
    • Bachelor's degree in Human Resources, Business Administration, or a related field (or equivalent experience).
    • 3+ years of experience in an HR role, with experience in talent acquisition preferred.
    • Familiarity with HRIS systems (such as Paylocity) and proficiency in Microsoft Office Suite, particularly Excel for data analysis.
    • Strong organizational skills with a high attention to detail and the ability to handle multiple tasks simultaneously.
    • Excellent written and verbal communication skills.
    • Ability to maintain confidentiality and handle sensitive information responsibly.
    • Analytical mindset with the ability to research and interpret HR data to support decision-making.
