Job Title: Resource Development Administrative Specialist

Job Summary:

The Resource Development Administrative Specialist will provide administrative support to the Resource Development team, ensuring the smooth operation of departmental functions. This role will be responsible for managing calendars, coordinating meetings, and maintaining accurate records.

Key Responsibilities:
  • Departmental Operations:
    • Provide administrative support for training meetings, including room reservations, refreshments, and agenda distribution.
    • Assist the VP of Resource Development and team members as needed.
    • Utilize Microsoft Teams to manage agendas, notetaking, and follow-up for key departmental meetings.
    • Manage the RD Teams Channel.
    • Manage the acknowledgement process for stock and tribute gifts.
  • Data:
    • Gain and maintain proficiency in online platforms and software used for fundraising and engagement operations.
  • Individual Giving and Engagement:
    • Research individual donor demographic and contact information.
    • Assist the Engagement Manager with ordering for kit packing projects.
    • Complete data entry for engagement event participants, ensuring accurate demographic data and event tags.
  • Regional Operations:
    • Maintain Regional Advisory Board Rosters.
    • Calendar Management for Regional Advisory Board Meetings, including scheduling and coordinating calendars.
    • Attend Regional Advisory Board Meetings to provide support.
  • Regional Grants Process Support:
    • Maintain Grant Panelist Rosters.
    • Calendar Management for Grant Panelist Meetings, including scheduling and coordinating calendars.
  • Regional Support for Engagement Events:
    • Maintain committee rosters.
    • Calendar Management for Event Committees, including scheduling and coordinating calendars.
    • Assist with event registration setup and produce registered participant rosters.
    • Attend engagement events to provide support.

Education/Experience Requirements:

3-5 years of experience in a workplace setting performing administrative duties that demonstrate attention to detail, communication skills, and project management.

Experience with Microsoft 365 and Microsoft Teams.

Strong proficiency in Microsoft Office Suite (e.g., Excel and Word).

Experience working in various databases.
