Job Summary

We are seeking a highly skilled Procurement Agent to join our team at the Commonwealth of Virginia DBA Virginia Port Authority. As a key member of our procurement team, you will be responsible for processing complex formal solicitation requests and requisitions, ensuring compliance with corporate guidelines, procurement processes, and external regulations.

Key Responsibilities
  • Contract Review and Processing: Review and process contract-related requisitions for purchases over $100,000, analyzing requisitions for accuracy of requirements and researching contractual issues to resolve discrepancies.
  • Compliance and Risk Management: Observe and ensure compliance with applicable laws, rules, and regulations related to procurement, identifying and mitigating potential risks.
  • Financial Management: Assist the Accounting team with match exceptions issues for paying invoices, ensuring accurate and timely financial processing.
  • System Maintenance and Administration: Conduct routine file maintenance in Asana, PeopleSoft, and Origami, ensuring system integrity and data accuracy.
  • Solicitation and Contracting: Start the solicitation process for formal solicitation requests for creating contracts, drafting and revising a variety of contracts, including supplier agreements and service contracts.
  • Supplier Relationship Management: Build and maintain positive relationships with suppliers, contributing to the development of training materials and conducting Procurement training for Port of Virginia colleagues.
  • Vendor Management: Maintain and update vendor SWaM information, processing and maintaining supplier scorecards to monitor supplier performance.
  • Policy Development and Implementation: Assist procurement leaders with developing, updating, and implementing procurement policies, ensuring compliance with all security and environmental regulations and policies.
  • Records Management: Ensure public records and information are managed, maintained, and disposed of in accordance with the Library of Virginia retention and disposition schedules and the Virginia Port Authority records management policies and procedures.
Requirements
  • Education: Bachelor's degree in Finance, Accounting, Business Administration, Supply Chain Management, or related field required.
  • Technical Skills: Computer skills to include procurement systems (PeopleSoft) required, with knowledge of Microsoft Office Suite applications (Excel and Outlook).
